Your opportunity:

Reporting to the Assistant Registrar, Campus Scheduling & Examinations, the Undergraduate Examinations Coordinator is responsible for the coordination and administration of all final and deferred undergraduate examination periods at the University of Toronto Mississauga (UTM), including activities related to the hiring and training of Chief Presiding Officers (CPOs). The incumbent works closely with members of the Office of the Vice-Principal Academic & Dean, course instructors, and department administrators to ensure all preparations are made for the successful delivery of exams, resolve issues, clarify procedures, and provide advice and assistance in interpreting policies for final examinations.

Your responsibilities will include:

  • Verifying the accuracy and completeness of information
  • Collecting examination papers from departments
  • Tracking and monitoring the distribution and return of examinations
  • Following rules and procedural instructions when packing exam materials based on course sections
  • Creating a master list of students writing deferred examinations
  • Keeping well-informed on University programs, policies and procedures
  • Frequently responding to complaints and using informal negotiation skills to resolve exam-related issues
  • Serving as a resource on specific issues to a group of specialists

    Qualifications:

  • Bachelor's Degree or acceptable combination of equivalent experience.
  • A minimum of four (4) years in a post-secondary environment with experience in examinations, or a registrarial or student services environment.
  • A strong knowledge of the university's academic policies and procedures related to examination and petition processes.
  • Experience hiring, training, scheduling or supervising staff.
  • Experience tracking and monitoring the distribution and return of examinations in a higher education setting.
  • Experience working in a fast-paced, high-pressure and high-volume service-oriented environment, with a demonstrated ability to meet tight deadlines and focus on attention to detail.
  • Attention to detail and accurate data entry skills.
  • Strong computer skills and experience using MS Office with an advanced knowledge of Microsoft Word and Excel.
  • Experience using ROSI is highly desirable.
  • Ability to learn and adapt quickly as new applications and systems are introduced.
  • Ability to climb ladders and lift materials up to 25 lbs.
