- Pay rate : $80K-$100K (35-hour workweek) depending on experience

Contracts & Licensing
- Draft, review, revise, and maintain software license agreements, supplements, and addendums.
- Review customer contracts and work with Executive Management to assess terms and provide recommendations.
- Maintain organized electronic and physical contract records.
- Issue permanent and temporary software licenses as required.
- Manage all maintenance renewals, including calculations, quotations, invoicing, and customer follow-up.
- Issue renewal invoices 90 days prior to expiry and track renewals through to payment.
- Update renewal schedules and product records upon payment.
- Generate sales and maintenance invoices using BBS Enterprise Manager and submit to Finance for posting in Quick Books.
- Maintain accurate invoice records and PDF archives.
- Perform A/R follow-up on outstanding invoices and update collection status and payment timelines.
- Provide pricing, quotations, and customer support related to products, licenses, and maintenance.
- Process sales orders by validating purchase orders, issuing temporary licenses, providing download instructions, updating databases, and ensuring maintenance and A/R records are current.
- Maintain the Master Price List and HAS Price Appendix.
- Maintain the product and licensing database, including migrations, system changes, license status, and usage updates.
- Ensure data accuracy for products, systems, nodes, and license types.
- Administer trademarks, including new applications, renewals, declarations of use, and coordination with external legal counsel.
- Maintain complete trademark records in both electronic and physical formats.
- Coordinate with Finance to complete customer documentation requests (W-9, W-8
BEN, Certificates of Residency, questionnaires, vendor registrations).
- Support conference and event planning, materials preparation, shipping, and on-site assistance if required.
- Possible attendance at events.
- Prepare shipping documentation and coordinate Fed Ex shipments, including return shipments for events.
- Issue and manage customer credentials for the Support Portal and internal wiki.
- Minimum 5 years' experience in a similar role.
- Strong organizational and administrative skills with exceptional attention to detail.
- Experience in contracts administration, sales operations, invoicing, or licensing environments.
- Ability to manage multiple priorities and work across Sales, Finance, Legal, and Customer Support.
- Professional communication skills and a high degree of discretion and confidentiality.
- Mu st be legally eligible to work, and reside in Canada
