Position Overview

Patron Career Staffing is seeking a motivated and organized Recruitment & Office Administrator to support daily office operations and manage full-cycle recruitment activities. This role requires strong communication, multitasking, and administrative skills to ensure smooth office functioning while successfully sourcing and placing qualified candidates.

Key Responsibilities
Recruitment & Staffing Duties
  • Source, screen, and interview candidates for general labor, warehouse, production, and office positions

  • Post job openings on job boards, social media platforms, and internal systems

  • Conduct phone screenings and schedule interviews with clients

  • Coordinate interview schedules and client communications

  • Prepare job offers, onboarding documents, and employment contracts

  • Maintain and update candidate database and ATS (Job Diva or similar)

  • Perform reference checks and ensure proper documentation

  • Build and maintain talent pipelines for current and future job openings

  • Follow up with placed candidates and clients to ensure satisfaction

  • Ensure compliance with company policies and employment standards

  • Office Administration Duties
  • Manage daily office operations and administrative tasks

  • Handle incoming calls, emails, and walk-in inquiries professionally

  • Maintain employee records, attendance, and documentation

  • Collect and verify timesheets and support payroll coordination

  • Assist with invoicing, reporting, and data entry

  • Prepare spreadsheets, reports, and recruitment trackers

  • Maintain office supplies and ensure smooth office workflow

  • Schedule meetings and support management with coordination tasks

  • Ensure confidentiality of company and employee information

  • Qualifications & Skills
  • Previous experience in recruitment, HR, or staffing agency preferred

  • Strong administrative and organizational skills

  • Excellent verbal and written communication skills

  • Ability to multitask and work in a fast-paced environment

  • Proficiency in Microsoft Office (Word, Excel, Outlook)

  • Experience with ATS/CRM systems (Job Diva preferred)

  • Professional attitude with strong customer service skills

  • Ability to work independently and within a team
