We are currently looking for an  Assistant Executive  to join our team in  Mississauga, Ontario .

A Day in the Life   POSITION SUMMARY  Responsible for providing  administrative support to the Director of Marketing, Managing Director of INFINITI and Director of DND, Electrification & Corporate Strategy . All matters are dealt with in a confidential and professional manner. Responsible for the proper handling of administrative issues of the executive offices.
POSITION FUNCTIONS   Provide and communicate sensitive and non-sensitive issues to the Directors in a timely manner. Screen telephone calls, mail, and e‑mail in a professional and diplomatic manner and assist/designate where possible. Compile bi-weekly itineraries for Executive team, prepare and maintain Corporate Calendar. 15%
Co‑ordinates and maintains the Directors’ schedule with respect to booking/ organizing meetings, appointments and travel plans with a fair amount of flexibility. Communicating to executives any changes/deletions/additions to the calendar and ensuring there are no conflicts to the schedule. Reserve flight and hotel accommodations ensuring the best possible airfare/hotel rates are attained. Prepare expense reports, reconcile monthly Master Card statements, and prepare corporate and legal invoices for processing.

Update and maintain filing system and maintain Executive Cost Centre reporting in SAP. 40%
Perform administrative duties within the Marketing & INFINIT departments related to setting up Purchase Orders (POs), completing Media Purchase Authorization administration and other budget tracking and execution tasks, in coordination with the marketing, agency and finance teams. Assist in coordinating Shopping Basket management, maintaining a contract repository and assist with OPEX management as directed. 20%
Perform other administrative duties such as required including but not limited to filing, ordering lunches, ordering office supplies, faxing, photocopying, sending courier packages, coordinating departmental events, booking boardrooms ensuring proper room set up and supporting other administrative assistants. Records retention co‑ordinator. 15%
Assists Directors in composing correspondence, producing charts, spreadsheets, and presentations in PowerPoint. 5%
Ensure professional and pertinent exchange of sensitive information when liaising with Executive team, internal Nissan and INFINITI contacts outside of Canada, dealers, suppliers and associations. 5%
Who We’re Looking for:  MINIMUM QUALIFICATIONS  The following qualification factors reflect the minimum skills and abilities required of the qualified applicant.
A minimum of  post‑secondary  education in administration
1 to 3 years  experience working with Senior Executives.
Must be able to deal with confidential and sensitive matters in a professional manner, work with minimum supervision, and be self‑motivated.
Advanced knowledge of MS Word, PowerPoint, Excel, and Outlook .
Excellent organizational and time management skills with the ability to multi‑task are essential.
An understanding of Corporate Culture and Corporate Visual Identity standards is necessary.
