The Accounts Payable (AP) manager is responsible for overseeing all aspects of the company’s accounting process, by processing invoices, reconciling statements, and ensuring timely and accurate payments to vendors and suppliers. This role is crucial to maintaining accurate financial records, managing cash flow, and ensuring the smooth operation of the company’s accounting procedures. The Accounts Payable manager provides leadership within the AP function and ensures compliance with company policies and accounting standards on behalf of ZA Construction LLC.
Duties/Responsibilities:- Oversee daily accounts payable operations, ensuring invoices are accurately coded, approved, and entered into the accounting system in a timely manner.
- Review and process high-volume invoices, purchase orders, and payment requests across multiple entities.
- Lead weekly payment cycles (ACH, credit card, check) while maintaining proper documentation and internal controls.
- Reconcile vendor statements and proactively resolve discrepancies or billing issues.
- Review AP entries prepared by junior staff for accuracy and compliance with policies and procedures.
- Identify and implement process improvements to enhance efficiency, accuracy, and workflow.
- Train and mentor AP team members, promoting consistency, accountability, and professional growth.
- Maintain accurate and organized electronic and physical filing systems.
- Proactively communicate to resolve issues and provide guidance.
- Creation of vendors based on company policies and procedures. Maintains positive relationships with vendors by responding to inquiries, resolving billing issues, and reconciling statements.
- Knowledge of SAGE or similar software preferred
- Must be proficient in Microsoft Office including MS Word and Excel
- Minimum of 4 years of Accounts Payable experience (construction or multi-entity experience preferred).
- Strong organizational, analytical, and problem-solving skills.
- Excellent interpersonal and written communication skills.
- High attention to detail and accuracy.
- Ability to manage competing priorities in a fast-paced environment.
- Team-oriented with leadership and mentoring capabilities.
- Must successfully pass a mandatory drug test and background check.
