Plains is an industry‑leading transportation and midstream provider specializing in transportation, storage, processing and marketing solutions for crude oil. The company operates an extensive pipeline network across the United States and Canada and is headquartered in Houston, Texas.
Responsibilities- Prepare and file various reports generated within the office, including budget forecasting, daily and weekly volume reports, overtime reports, and other reports or correspondence as required by the Corporate Office, Managers, and Supervisors.
- Order equipment and supplies as needed to support office and operational needs.
- Receive and process all incoming and outgoing correspondence for the office.
- Code and process invoices through the company's bill‑pay system.
- Organize and maintain filing systems for correspondence, reporting, and inspections.
- Maintain handbooks and procedures related to safety and regulations and assist the Manager in ensuring compliance.
- Ensure accurate completion and reporting of timesheets in accordance with company policy.
- Serve as receptionist when required, handling and routing incoming telephone calls appropriately.
- Schedule employee training sessions and assist with travel arrangements for employees.
- Perform tasks to maintain the appearance of the company’s building, facilities, and equipment, ensuring they are neat and orderly.
- Provide assistance with any other tasks as assigned.
- High School Diploma or equivalent.
- At least two to four years of experience as an administrative assistant or equivalent office experience.
- Proficiency in Microsoft Word, Excel, PowerPoint, and Outlook, with a particular emphasis on Excel.
- Strong analytical abilities, capable of making independent decisions and judgments, and exercising initiative with accuracy and attention to detail.
- Ability to effectively interact with internal personnel as well as vendors and customers.
- Strong organizational and multi‑tasking skills, with a proven ability to prioritize tasks and meet deadlines.
- Work is performed in an office environment with minimal physical requirements.
- Valid driver’s license with a clean driving record.
- Cleared criminal background and satisfactory reference checks.
- Compliance with the company’s drug and alcohol policy, including pre‑employment testing.
