This Time-Limited (14) job opportunity is in the MS Office of Homeland Security, PEARL, MS, located in RANKIN COUNTY, and will serve as the Receptionist and Administrative Assistant. The Administrative Support Assistant IV serves as a key administrative and front-office support position within the Mississippi Department of Public Safety (MDPS) Homeland Security Department. This position serves as the primary receptionist and administrative contact for the department while providing comprehensive administrative support to Homeland Security leadership, staff, and program personnel.

The position is responsible for creating a professional, welcoming, and efficient front-office environment; receiving and directing visitors and telephone calls; coordinating schedules and meetings; preparing correspondence and reports; maintaining records; processing documents; and providing day-to-day administrative assistance to department personnel.

Because the position operates within a Homeland Security environment, the incumbent may routinely interact with law enforcement personnel, federal and state officials, local government representatives, vendors, applicants, members of the public, and other individuals requiring access to the department. The position requires exceptional professionalism, discretion, confidentiality, organization, communication skills, and the ability to appropriately handle sensitive administrative and agency information.—

Essential Duties and Responsibilities:

Reception and Front Office Operations:
* Serves as the primary receptionist for the Homeland Security Department and establishes a professional and welcoming first point of contact for visitors, employees, law enforcement personnel, government officials, and members of the public.
* Greets visitors, determines the nature of their business, verifies appropriate appointments or contacts, and directs visitors to the appropriate employee or office.
* Answers, screens, and routes incoming telephone calls and provides general information within established policies and procedures.
* Maintains visitor logs, appointment schedules, sign-in procedures, and other front-office records as required.
* Monitors the reception area and assists in maintaining a professional, organized, and secure office environment.
* Receives, sorts, distributes, and processes incoming and outgoing mail, correspondence, packages, and other deliveries.
* Coordinates with appropriate personnel regarding visitors, meetings, deliveries, and scheduled appointments.
* Provides courteous and professional assistance to individuals requesting information or services from the department.

Administrative Support:
* Provides comprehensive administrative support to Homeland Security leadership, managers, supervisors, and staff.
* Prepares correspondence, memoranda, reports, spreadsheets, presentations, forms, meeting materials, and other official documents.
* Proofreads documents for accuracy, grammar, formatting, completeness, and consistency.
* Maintains electronic and physical files in accordance with agency policies, records retention requirements, and applicable state procedures.
* Organizes and maintains confidential and sensitive administrative records.
