Job Summary
The Payroll and Benefits Clerk is responsible for preparing, maintaining, and processing employee payroll records and benefit-related transactions. Under the direction of the Payroll Manager, the Payroll and Benefits Clerk ensures accurate and timely payroll processing, benefits administration, employee record maintenance, and compliance with company policies and applicable regulations.
This position works closely with Payroll, Human Resources, Accounting, benefit providers, and employees to support payroll operations, maintain employee data in ADP, maintain benefit programs, process employment and payroll-related documentation, reconcile benefit invoices, and respond to employee inquiries. The Payroll and Benefits Clerk serves as a key resource for employees regarding payroll, benefit enrollments, deductions, coverage, direct deposits, and other employment-related matters while maintaining strict confidentiality of sensitive information.
Duties and Responsibilities
- Assist with processing payroll accurately and timely in accordance with company policies and procedures.
- Maintain employee payroll records in ADP, including new hires, terminations, pay rate changes, deductions, direct deposit information, Wisely card setups, employee contact updates, and schedule adjustments.
- Administer employee benefit maintenance, including medical, dental, vision, life, disability, and supplemental insurance plans.
- Process benefit enrollments, changes, terminations, waivers, qualifying life events, and annual open enrollment transactions in accordance with company policies and eligibility requirements.
- Assign, track, maintain, and upload cutter numbers for both plant locations, including spreadsheet updates, Weigh Tech uploads, and related employee communications.
- Process and maintain payroll- and benefits-related documentation, including Personnel Action Forms (PAFs), benefit enrollment forms, physician excuses, MDES documents, Louisiana Workforce scans, garnishments, support withholding orders, and other required employee records.
- Administer payroll-related programs and incentives, including Cutter Pay Program incentives, PRC code distribution, and other compensation-related processes.
- Reconcile employee benefit invoices and payroll deductions, investigate discrepancies, and coordinate corrections with insurance carriers, brokers, and vendors.
- Conduct audits of payroll deductions and benefit enrollments to ensure accuracy and compliance.
- Assist employees with payroll and benefits-related questions regarding pay, deductions, direct deposits, coverage, eligibility, claims, enrollment status, and provider information.
- Support Affordable Care Act (ACA) tracking, reporting, and compliance activities.
- Maintain company payroll records, benefits records, files, phone lists, Ring Central information, and other payroll-related systems while ensuring confidentiality of employee information.
- Perform clerical and administrative duties such as filing, scanning, record retention, processing mail, and responding to emails.
- Abide by all company procedures, payroll policies, benefits policies, accounting principles, and applicable federal, state, and local regulations.
- Perform various payroll- and benefits-related duties, special projects, and other assignments as directed by the Payroll Manager.
- At least 1 year of previous accounting experience preferred.
