JOB

SUMMARY

The Payroll Assistant is responsible for assisting with processing incoming mail for FEA and Payroll regarding Tax Notifications, Unemployment Claims, and other Federal/State notifications. The Payroll Assistant will oversee that the Printers are maintained and stocked with paper and ink. They will also maintain the Folding Machines and make sure the Payroll Department’s Supply room is stocked with office supplies. The Payroll Assistant will assist with any projects that FEA and Payroll need during payroll weeks, quarterly and end-of-year processes.

DUTIES
  • Assist payroll department with administrative tasks
  • Promote cohesiveness in the office environment
  • Support day-to-day operations
  • Effective written and verbal communication
  • Comply with applicable legal requirements, standards, policies, and procedures
  • Demonstrate effective problem-solving and decision-making skills
  • Assist with special projects
  • Maintain necessary skills and knowledge to coordinate workflow
  • Participate in professional development and training activities
  • Prioritize and multitask effectively
  • Coordinator with outside vendors for equipment maintenance
  • Scan FEA documents into the paperless filing system
  • Support Payroll Coordinators as needed
  • Mail payroll checks in an accurate and timely manner
  • Coordinate payroll inventories of check stock and other office supplies
  • Other duties as assigned
QUALIFICATIONS
  • High School Diploma or GED preferred
  • Previous office experience preferred
  • Combination of education and experience

The incumbent typically works in an office environment and uses a computer, telephone and other office equipment as needed to perform duties. The noise level in the work environment is typical of that of an office. Incumbent may encounter frequent interruptions throughout the workday. The employee is regularly required to sit, talk, or hear; frequently required to use repetitive hand motion, handle or feel, and to stand, walk, reach, bend or lift up to 20 pounds.
