The Family Medicine Residency of Western Montana (FMRWM) invites applications for a Program Manager to oversee daily administrative, technical, and clerical support for faculty, staff, and residents. This position requires a high degree of personal initiative, along with strong problem‑solving skills, attention to detail, innovative thinking, and ability to work as part of a team.

Responsibilities
  • Coordinate and oversee the weekly didactic schedule, ensuring compliance with Accreditation Council for Graduate Medical Education (ACGME) requirements and continuous curriculum evaluation.
  • Serve as liaison for presenters; collect resident feedback and integrate it into future programming; plan simulations and procedural trainings, including development of hands‑on models.
  • Provide technical and logistical support for conferences and didactics, including conferencing platforms (e.g., Zoom Video Communications).
  • Support FMRWM Journal Club by coordinating with faculty leads, reviewing articles for scientific rigor, designing evaluations, tracking participation, and issuing CME credits in accordance with American Academy of Family Physicians (AAFP) guidelines.
  • Maintain compliance documentation, including annual Program Letters of Agreement (PLAs) per Centers for Medicare & Medicaid Services (CMS) and ACGME policies; track resident attendance across conferences and events.
  • Facilitate medical certification courses, managing approvals, budgets, logistics, CME coordination, and community representation.
  • Coordinate major program events and meetings, manage conference room scheduling, and provide event documentation and support.
  • Oversee program communications and administrative systems, including website, social media, SharePoint management, survey design/data collection (Qualtrics), office operations, and optional notary services.
  • Schedule meetings and plan events, including managing registrations, catering, lodging, transportation, and A/V logistics.
  • Perform routine office tasks including preparing mailings, filing, and processing routine forms and paperwork.
  • Knowledge of graduate medical education requirements surrounding certification and educational experiences.
  • Develop and maintain organized office systems and workflows in a dynamic environment.
  • Work with web platforms, social media, database systems, and Microsoft Office/Adobe applications.
  • Learn and apply new skills and knowledge brought about by rapidly changing information and/or technology.
  • Provide strong customer service and collaborate effectively with faculty, residents, and healthcare partners.
  • Demonstrate organizational skills, adaptability, and the ability to prioritize multiple tasks in a fast‑paced environment.
Qualifications
  • Bachelor’s degree or an equivalent combination of education and experience.
  • Experience with routine office tasks including preparing mailings, filing, and processing routine forms and paperwork.
  • Knowledge of graduate medical education requirements surrounding certification and educational experiences.
  • Experience developing and maintaining organized office systems and workflows in a dynamic environment.
  • Working knowledge of web platforms, social media, database systems, and Microsoft Office/Adobe applications.
  • Ability to quickly learn and put to use new skills and knowledge brought about by rapidly changing information and/or technology.
  • Strong customer service skills with the ability to collaborate effectively with faculty, residents, and healthcare partners.
  • Demonstrated organizational skills, adaptability, and ability to prioritize multiple tasks in a fast‑paced environment.
Preferred Qualifications
  • Bachelor’s degree and 5 years of experience in a graduate medical education program.
  • Previous work experience or education as a program coordinator overseeing educational training content.
  • Strong communication, interpersonal, and leadership skills.
  • Ability to proactively solve problems.
  • Flexibility around work hours when required for events and/or meetings.
