We are seeking a highly organized, proactive, and personable Office Administrator to join our team for an approximately three-month temporary assignment. This is a great opportunity for an experienced administrative professional who enjoys being the go-to resource in a fast-paced office environment and making a meaningful impact across the organization. As the Office Administrator, you’ll play a key role in keeping daily operations running smoothly.
You’ll serve as the primary point of contact for employees, guests, candidates, vendors, and internal departments while supporting a wide range of administrative, employee, event, and office-related activities.
- Manage front desk and reception operations, serving as the welcoming first point of contact for guests, employees, candidates, and vendors
- Provide day-to-day administrative support, including answering phones, managing mail, scheduling meetings, sending meeting invitations, and notarizing documents
- Maintain organized electronic and physical filing systems and assist with document management
- Support the creation of marketing materials for company social media and the internal SharePoint site
- Partner with the Human Resources Administrator to support employee onboarding and offboarding, including coordinating basic IT-related needs
- Become familiar with company policies and procedures and appropriately direct employee questions
- Plan and coordinate company social and training events, including catering and logistics
- Represent the company at community events and activities
- Monitor office supply inventory and coordinate ordering of supplies and materials
- Help ensure project sites have the supplies and essential materials they need
- Provide additional administrative support and assistance as needed
- 2+ years of administrative experience preferred
- Legally authorized to work in the United States
- Excellent written and verbal communication skills
- Intermediate to advanced computer skills, particularly in Microsoft Outlook, Excel, PowerPoint, and Word
- Ability to create presentations and documents with minimal direction
- Proficiency with copying, scanning, emailing, and faxing
- Strong organizational and time-management skills
- Exceptional attention to detail and follow-through
- Proactive approach to identifying and addressing needs
- Strong customer service and interpersonal skills
- Ability to assess situations, solve problems, and use sound judgement
- Flexible and adaptable in a changing work environment
- Ability to work effectively as part of a team
