Job Summary

The Accounting and Payroll Specialist is responsible for a variety of accounting responsibilities and administering payroll and benefits. The role involves accurate and timely processing of bi‑weekly payroll for 200 employees via ADP, handling special payrolls, reviewing timekeeping, processing garnishments, deductions, reimbursements, and managing quarterly and year‑end processes. The specialist also responds to payroll inquiries from corporate, internal, and external auditors and maintains payroll procedures documentation.

Job Responsibilities
  • Process payroll through ADP and other special payroll adjustments.
  • Review payroll reports for accuracy and completeness.
  • Prepare journal entries for payroll, 401(k), and benefit accruals; enter into the ERP system.
  • Reconcile and analyze payroll‑related accounts against payroll records.
  • Reconcile quarterly 941 and state payroll tax filings.
  • Maintain auditable checklists and documentation for all processing.
  • Enter and ensure accuracy of all withholding orders, garnishments, and tax levies.
  • Provide support for various audit requirements.
  • Research and effectively communicate verbally and in writing with associates and other departments regarding payroll, taxes, and with holdings.
  • Responsible for payroll document retention.
Job Responsibilities Part II

The Accounting and Payroll Specialist will also be trained to support the Finance department with other accounting-level activities, including:

  • Assisting in core accounts receivable and accounts payable tasks with other Accounting Staff.
  • Processing customer receipts.
  • Performing various account reconciliations and analysis.
  • Reviewing accounts payable records for accuracy before processing.
  • Preparing certain financial transactions and all supporting documentation.
  • Other duties as assigned.
Qualifications
  • Associate Degree in Accounting or equivalent experience.
  • Minimum of 5 years of relevant Accounting and Payroll experience preferred.
  • Experience with ADP preferred.
  • Strong analytical skills with attention to detail and accuracy.
  • Proficiency in Microsoft Office (Excel, Word, Outlook).
  • Excellent verbal and written communication skills.
  • Ability to work collaboratively and autonomously.
  • Ability to prioritize workload to meet processing deadlines.
  • Ability to multi‑task and demonstrate strong critical thinking and problem‑solving skills.
  • Maintains confidentiality of sensitive information.
  • Strong work ethic.
