Responsibilities- Administrative Support for the Dean:
Coordinate and lead a range of projects providing administrative support for the day-to-day operations for the Dean, and Teacher Education and Educational Foundations Departments. Maintain high standards of customer service for internal and external constituents by exemplifying collegiality, inclusivity, respect, efficiency, and accuracy. - Process a high volume of email, telephone calls, and walk-in visitors with professionalism, discretion, and confidentiality.
- Support the School of Education staff by maintaining awareness of operational needs and collaborate with other staff members; provide backup as needed.
- Develop and implement standard operating procedures and practices; make recommendations to resolve administrative problems and improve operational efficiency across all departments.
- Provide onboarding, training, and lead work direction for the School of Education and departmental student assistants.
- Assist with reports in support of accreditation, assessment, program review, grants, and School of Education accomplishments.
- Assist Dean with scheduling and School and community meetings and events.
- Administrative Support for TED and EF:
Provide administrative support to the Teacher Education and Educational Foundations department and programs, including maintaining office inventory and procuring supplies; prepare necessary documentation for business activities and events; submit printing requests; coordinate office/classroom access and guest lecturer hospitality; provide logistical and administrative support for department recruitment and assessment. - Develop and implement standard operating procedures and practices; improve operational efficiency.
- Assist faculty with daily needs such as printing, supply acquisition, office/classroom access, guest lecturer hospitality, etc.
- Assist chairs with departmental budgets, schedule building, faculty workload reports, committee support and coordination, entitlement reporting and monitoring enrollments.
- Provide operational support for the assessment platform; enter and maintain forms and work with the assessment analyst for accreditation reports.
- Support data entry into various student records and tracking systems; collect syllabi to ensure policy compliance and maintain the syllabi archive.
- Prepare reports, forms, letters, memos, surveys, and other documents; process work orders for maintenance, keys, and building access code requests.
- Support faculty search processes and assist with onboarding of new faculty and staff; create and maintain archives for electronic records.
- Submit information technology (IT) tickets and assist with troubleshooting office technology and systems; maintain inventory of computer/tech assets and keep software up to date.
Other Duties:
Stay current with administrative policies by attending meetings and training; serve on committees and perform other duties as assigned in support of the School of Education.
REQUIRED QUALIFICATIONS:
- Education: High school diploma, technical/vocational program, or equivalent with several years of related office work experience.
- Knowledge, Skills, & Abilities: Ability to work professionally and collaboratively with a diverse population; respond to a high volume of inquiries with professionalism, discretion, and confidentiality; work independently with accuracy and efficiency; manage multiple tasks with minimal supervision; adapt to changing priorities; excellent verbal and written communication; interpret and apply university policies; oversee and direct the work of Student Assistants; use standard word processing and related software.
PREFERRED QUALIFICATIONS:
- Education: Bachelor’s degree preferred or a combination of education and experience.
- Experience: Minimum of five years of administrative support experience; knowledge of applicable University infrastructure, policies, and procedures is preferred.
- Knowledge, Skills, & Abilities: Proficiency with computers, Microsoft Office, Adobe; ability to learn new programs; strong research and data analysis skills; familiarity with social media platforms and website management; punctuality and availability for evenings or weekends with advance notice.
