OverviewThe Administrative and Facilities Project Coordinator provides executive‑level coordination and programmatic support to the School of Medicine (SOM) Facilities. The role manages the Facilities Manager’s calendar, business affairs, and communications, and staffs SOM committees. It also assists with facility space planning projects.
Responsibilities- Manage the Facilities Manager’s calendar, briefings, and travel schedules.
- Coordinate business affairs, prepare agendas, record minutes, and track action items for SOM committees and work‑groups.
- Maintain official filing systems and initiate office policies to improve efficiency.
- Assist in planning and executing facility and space‑planning projects across SOM locations.
- Strategize and advise on university communications and campus events related to the Facilities Manager’s role.
- Bachelor’s degree in a related field (Master’s preferred) and equivalent experience.
- Minimum of 2 years of related executive or project‑management experience.
- Strong organizational skills and ability to multi‑task with demanding timelines.
- Excellent written and verbal communication; ability to compose concise correspondence.
- Demonstrated discretion and confidentiality in handling sensitive information.
- Proficient with common office applications and computer programs.
- Experience in a medical school, medical center, or hospital environment.
- Knowledge of UCR academic and administrative structure.
- Self‑sufficient independent work style and collaboration ability within a team.
$32.74 – $52.32 per hour (competitive—based on education, experience, and institutional needs).
