The Safety Coordinator plays a key role in supporting the Manager of Safety by carrying out a wide range of administrative and field tasks, as well as providing technical project assistance when needed. This position requires adaptability and responsiveness to guidance from team leaders across the organization. The Safety Coordinator is expected to foster positive working relationships within and between departments while always upholding strict confidentiality.
EssentialDuties/Responsibilities:
- Provides efficient, accurate, high-level technical administrative support to the WRVEC Safety program. Proactively seeks guidance when necessary.
- Responsible for document retention, maintaining extensive recordkeeping including electronic files and documentation.
- Gathers and analyzes reports and data provided by others to produce summarized, presentable reports for management review for the development of improvement of policies, processes, and programs relating to safety.
- Upholds the highest standards of confidentiality with respect to customer expansions or acquisitions, personnel matters, and any issues designated as confidential within the scope of corporate operations and planning.
- Conducts inspections of job sites, facilities, and vehicles. Prepares detailed evaluations based on observations from job sites, facility, and vehicle inspections.
- Assists the Manager of Safety with maintaining accurate safety logs, training records and certification renewals ensuring up-to-date compliance.
- Coordinates meetings and communications, schedules and supports meetings, and transcribes correspondence and reports for management.
- Reviews safety-related procedures and operations and offers recommendations to enhance safety efficiency and effectiveness.
- Ensuring records are kept current including SDS, compliance certificates, Emergency Response Plans, disaster and contingency plans, workplace posters, etc.
- Assist with maintaining driver qualification records for each employee. Orders and monitors motor vehicle records for all employees on an annual basis.
- Schedules and coordinates all safety onboarding and training for new employees in coordination with the HR department.
- Gathers and delivers information and details for monthly Board reports. Also drafts reports (as requested) with self-directed research including the formulation and identification of trends.
- Works with leadership on budget, creates order requisitions and purchase orders.
- Serves as the point of contact when the Manager of Safety is out of the office. Provides back‑up functions as needed or assigned.
- Creates and maintains required files in accordance with established administrative procedures, always ensuring proper organization.
- Works collaboratively with colleagues and fosters a spirit of cooperation in the workplace.
- Assist with White River security and fire systems at all locations.
- Help maintain CDL driver records required by Federal Motor Carrier Safety Administration.
- Conducts themselves in a manner that reflects well on WRVEC and contributes to harmonious relations with members and the general public.
- Respectfully takes direction from management. Refers any situations outside their scope of service to the Manager of Safety for direction.

- Contractors/Vendors:
The Safety Coordinator establishes and maintains professional relationships with contractors and vendors to ensure that project requirements, schedules, and safety protocols are consistently upheld. In this role, the coordinator serves as the primary contact for organizing logistics, overseeing compliance, and managing documentation associated with services provided by external partners. - Local Authorities:
Coordinates with the Manager of Safety and local officials to ensure compliance, obtain permits, and support Cooperative needs. - Members and Property Owners:
Works jointly with the Manager of Safety to act as a contact point, addressing any questions or concerns, collecting relevant information, and making sure that all communications to cooperative members and property owners are clear and easily understood. - Statewide Organizations:
