Administrative Assistant

Location:

Hybrid - , Maryland Heights, MO, with three days in the office and two days working remotely. The firm is expected to transition to a four-day‑in‑office and one‑day remote schedule effective June 1, 2026

Contract 6+ months with Possible extension

$20/hr on w2

As the Administrative Assistant, you will provide administrative support to ensure efficient day‑to‑day operations, including managing schedules, handling correspondence, and organizing meetings. You will serve as a central point of contact, coordinating information flow and facilitating communication within the organization.

Main Responsibilities
  • Coordinate projects and handle changing priorities.
  • Organize calendars and work of others, including prioritizing and structuring next steps for follow‑up.
  • Execute on the follow‑up needs.
  • Oversee and coordinate internal and external events.
  • Schedule and manage complex Outlook calendars including travel, accommodations and events.
  • Monitor deadlines and due dates for case preparation.
  • Coordinate and schedule meetings and conference calls that cross time zones with multiple attendees who have changing and sometimes conflicting calendars.
  • Communicate consistently to ensure alignment with attorneys and teams in day‑to‑day needs, priorities and deadlines, status of larger work projects/tasks, and identify what is on the horizon to help manage time appropriately.
  • Handle high‑level internal and external communications, including managing incoming phone calls, returning phone calls, responding to voicemails, managing incoming e‑mails by forwarding and/or responding as appropriate, and creating and mailing letters and memos on behalf of others.
Required Skills
  • Advanced proficiency in Microsoft Outlook, Word, Excel, PowerPoint, Adobe Professional, various web based applications, AI and technology and document management programs.
  • Create/prepare basic to complex PowerPoint presentations, spreadsheets and correspondence.
  • Create, update and maintain reports requiring compilation of data from different sources and systems.
  • Strong ability to set goals, multi‑task and prioritize workload with little direction.
  • High level of attention to detail in documents, correspondence and reports.
  • Discern priorities and proactively manage timelines to elevate attorneys’ work.
  • Handle multiple, competing priorities in an effective manner.
  • Accurate and timely handling of legal bills and expense reports.
  • Ability to anticipate questions and/or needs for what comes next in the work and workflow.
  • Make decisions with the business need in mind.
  • Ability to coordinate projects and handle changing priorities.
  • Ability to organize calendars and work of others, including prioritizing and structuring next steps for follow‑up.
  • Utilize problem solving skills in investigating resources, analyzing the work and coming up with ways to address situations.
  • Determine urgency of situations and implement the appropriate escalation process.
  • Manage very confidential information on an ongoing basis.
  • Exercise appropriate level of confidentiality in all aspects of the position.
  • Connect the dots of work to help identify and anticipate needs.
  • Ability to see detail of immediate work and connect with departmental goals/objectives.
  • Demonstrate accountability, take initiative, and develop new approaches to enhance existing processes and services for the full division.

Education

Some college education preferred or at least 3-5 years of experience in a legal or law firm environment.
