Responsibilities- Provide analytical and administrative support for the Administrative Services Branch
- Assist in records management functions: maintain the district’s records retention schedule, prepare documentation, coordinate secure destruction activities (confidential shredding), and manage related purchasing needs
- Support the Conflict of Interest and Form 700 program: maintain filer lists, monitor submission status, prepare routine communications, track Ethics Training completion, and answer staff filing questions
- Act as District 4 CEFS Forms and Manuals Coordinator: update and distribute forms and manuals, maintain inventory, and respond to inquiries regarding proper use
- Assist with contract administration: scopes of work, document preparation, expenditure tracking, invoice processing, file maintenance, procurement documentation, and processing renewals or amendments
- Perform special projects and other duties as assigned to support efficient and effective branch operations; position may be rotated
- Possession of the minimum qualifications stated in the Classification Specification
- Ability to apply public administration principles, records retention laws, and procurement regulations
- Proficiency with office software (Microsoft Office, database systems) and ability to learn new systems quickly
- Strong analytical, written and oral communication skills; ability to work independently and collaboratively
- Knowledge of public administration, budgeting, and management analysis
- Experience implementing or maintaining records retention schedules and ensuring compliance with legal requirements
- Experience supporting compliance-driven programs such as Conflict of Interest, contracts, or procurement processes
- Ability to analyze data and policies, make sound recommendations, and evaluate administrative processes for improvement
The incumbent primarily works in a standard office environment with artificial lighting and controlled temperature, requiring prolonged periods of sitting and computer work. Occasional physical activity may be required, such as retrieving or storing records, lifting boxes up to 25 pounds, and occasional travel within the district for meetings or access to off‑site storage areas. The position may involve telework or hybrid schedules per departmental policy but in‑person attendance may be required for operational needs.
The work environment is fast‑paced with frequent interruptions and shifting priorities.
