Thompson Land Management, LLC is seeking a motivated, organized, and detail-oriented Office Support position to support the daily administrative operations of a growing forestry and land management company. This position will provide administrative support to management and field personnel while assisting with document management, employee records, fleet administration, compliance tracking, and general office operations.

The ideal candidate is dependable, professional, adaptable, and eager to learn. This position offers the opportunity to gain experience in business operations, human resources, compliance, and administrative management within a fast-paced and growing company.

Essential Duties and Responsibilities Administrative Support
  • Answer and direct incoming telephone calls.
  • Greet visitors and provide professional customer service.
  • Process incoming and outgoing mail, packages, and deliveries.
  • Maintain electronic and physical filing systems.
  • Scan, organize, and file company records and documentation.
  • Prepare correspondence, forms, reports, and spreadsheets.
  • Assist with scheduling meetings, appointments, and travel arrangements.
Employee and Human Resources Support
  • Assist with new hire onboarding paperwork.
  • Maintain employee files and personnel records.
  • Track employee certifications, training records, and required documentation.
  • Assist with employee benefit enrollment paperwork and administrative forms.
  • Support payroll administration through accurate collection and organization of employee information.
Fleet and Equipment Administration
  • Maintain vehicle and equipment files.
  • Track registrations, permits, inspections, and renewal deadlines.
  • Organize maintenance records and supporting documentation.
  • Assist with tracking company assets and equipment information.
Compliance and Documentation Support
  • Assist with maintaining insurance certificates and vendor records.
  • Support contract, permit, and project documentation management.
  • Track expiration dates and renewal requirements for licenses, permits, and certifications.
  • Ensure company records are accurate, complete, and organized.
Office Operations
  • Order and maintain office supplies and materials.
  • Assist with office organization and process improvement initiatives.
  • Support management with special projects and administrative assignments.
  • Provide backup support for various office functions as needed.
Qualifications
  • High school diploma or equivalent required.
  • Two years of administrative, office support, or customer service experience preferred.
  • Strong organizational and time-management skills.
  • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Outlook, Word, Excel, and Adobe PDF.
  • Ability to learn new software systems and technology.
  • Strong attention to detail and accuracy.
  • Ability to prioritize tasks and manage multiple responsibilities.
  • Professional demeanor and positive attitude.
Preferred Qualifications
  • Experience in construction, forestry, transportation, agriculture, or related industries.
  • Experience with document management and records administration.
  • Familiarity with Quick Books Online or similar accounting software.
  • Experience working in a small business environment.
Physical Requirements
  • Prolonged periods of sitting and computer work.
  • Ability to occasionally lift and carry office materials up to 25 pounds.
  • Ability to move throughout the office as needed.
