Job Summary
This position coordinates all administrative functions and provides multifaceted support to senior department management and staff, including scheduling, mail coordination, calendar maintenance, travel arrangements, meetings, project tracking, report preparation, and special projects.
Job Duties /Responsibilities- Provide administrative support to the Vice President of Customer Service & Economic Development.
- Monitor scheduling communications and maintain the Vice President’s calendar; schedule events, travel arrangements, departmental meetings, conference calls, meeting facilities, and catering.
- Prepare formal correspondence, routine documents, presentations, spreadsheets, and interoffice communications with minimal direction.
- Manage administrative affairs of the department, including invoice processing, supply equipment procurement, and training records.
- Handle multiple assignments, meet deadlines, and maintain confidentiality of departmental issues.
- Proactively forward work issues to appropriate managers, supervisors, and employees.
- Process expense reports and input time worked into the payroll system.
- Communicate daily with internal and external business contacts/consultants to ensure successful relationships.
- Assignments may involve overtime hours; regular office attendance is essential.
- Vocational training, apprenticeships, or equivalent experience in a related field (four‑year degree not required).
- At least 8 years of relevant experience.
- Ability to work independently with minimal direction and to work in teams.
- Proficient in Microsoft Word, PowerPoint, and Excel.
