JOB DESCRIPTION

Allied Technologies and Consulting (ATC) is currently looking for an Administrative Specialist - Training, Routing, and Travel to support the Naval Health Research Center (NHRC) Command Suite and Directorate for Administration (DFA) in San Diego, California. NHRC optimizes military operational readiness through research supporting warfighters, veterans, and family health. This position supports comprehensive, non-personal administrative services that keep executive operations, correspondence, records, personnel actions, training, travel, and command administration moving accurately and on time.

This position is based at NHRC, 140 Sylvester Road, San Diego, CA 92106, and is expected to be on-site at the Government facility. Telework is not guaranteed and may occur only when authorized by the Government and ATC management.

DUTIES AND RESPONSIBILITIES
  • Support NHRC administrative operations across training, routing, travel, and command support functions.
  • Assist with compiling, updating, and implementing annual command training requirements aligned with mission needs, strategic goals, and applicable BUMED requirements.
  • Create and maintain training accounts for NHRC personnel in required online training systems, assign command trainings, track completion, and maintain completion documentation.
  • Track and report training completion status on a recurring basis, including biweekly updates or other reports requested by the Administrative Officer.
  • Coordinate command training sessions, instructor support, records retention, and completion certificates for a large command workforce.
  • Schedule and coordinate monthly Command Indoctrination, including speaker coordination, attendee notifications, records of completion, and support to site visits or R&D enterprise training events.
  • Manage and support travel arrangements for DFA government and military personnel, including coordination with the command travel team to resolve travel issues.
  • Process and track gift-of-travel requests, coordinate with stakeholders, and help ensure timely documentation and routing.
  • Support administrative routing actions, packets, taskers, documentation, and related office functions as assigned.
  • Maintain accurate trackers, electronic files, and status records to support accountability, visibility, and retrieval of information.
EDUCATION, SKILL AND EXPERIENCE REQUIRED
  • Minimum of 1 year of administrative experience.
  • Experience supporting training coordination, travel coordination, routing packages, or high-volume administrative tracking is preferred.
  • Proficiency with Microsoft Office Suite, Adobe PDF tools, and electronic filing/tracking systems.
  • Experience with Government training systems, DTS/travel processes, command indoctrination, or DoD administrative environments is preferred.
  • Strong organization, follow-through, customer service, and written/verbal communication skills.
  • Must be a U.S. Citizen and able to obtain and maintain required Government facility, CAC, and IT/network access.
  • Must be able to favorably complete the required background investigation/security process, anticipated to include NACLC/T3 or equivalent when required for non-critical sensitive/IT-II duties.
  • Must complete required initial and annual Government/DoD training, which may include Cyber Awareness, OPSEC, HIPAA, Ethics, Antiterrorism Awareness, Active Shooter, Preventing Sexual Harassment, and safeguarding covered defense information.
  • Must be able to pass background and drug testing.
  • Must be dependable, professional, organized, and comfortable working in a fast-paced military/medical research environment with frequently changing priorities.
THIS IS A FEDERAL CONTRACT

Employment is contingent upon contract award, Government approval/acceptance, successful completion of applicable onboarding requirements, and ATC hiring requirements.
