Position: Respite Counselor Part Time Saturday Sunday
Location: Earth City

Position Summary

An administrative assistant provides administrative support to Staff, Managers, Directors, and/or Vice Presidents. This role involves daily contact with both internal and external contacts, exposure to sensitive confidential information, and assistance with scheduling and managing workflow.

Responsibilities
  • Manage calendars and schedule appointments.
  • Sends out UPS mail for the payroll departments.
  • Screen incoming calls and correspondence and respond independently when possible.
  • Arrange in‑services, special events, conferences, and national exhibits.
  • Manage national meetings, exhibit halls, and negotiate contracts with vendors.
  • Coordinate teleconferences.
  • Arrange complex travel plans and itineraries, and compile documents for travel‑related meetings.
  • Review and submit monthly company credit card statements for Vice Presidents.
  • Ensure workflow for managers meets productivity needs.
  • Communicate with companies and staff.
  • Organize and maintain file system; file contracts, vendor agreements, and other documents.
  • Copy and scan correspondence or other printed materials; file accordingly.
  • Prepare outgoing mail and correspondence, including e‑mail and faxes.
  • Read and route incoming mail.
  • Assist other assistants with projects and events.
Qualifications
  • Associate’s degree in business or related field required.
  • Three to five years of office‑related experience in a similar‑sized organization required.
  • Minimum three years of experience in meeting or convention planning required.
  • Proficient in MS Office.
  • Excellent attention to detail and organizational skills.
  • Ability to communicate professionally and effectively, both orally and in writing.
  • Ability to work in a fast‑paced environment and juggle multiple priorities.
  • Think quickly, assess situations, and make sound decisions.
  • Use technology to optimize efficiency and effectiveness.
  • Solid critical thinking and problem‑solving skills.
  • Assertive, self‑directed; able to work without supervision.
  • Perform job with integrity and values consistent with the Numotion Mission.
