THIS POSITION IS INCUMBENT UPON CONTRACT AWARD DESCRIPTION
The Administrative Support Specialist III provides intermediate-level administrative and clerical support across a variety of functional areas, including work order management, finance, production control, supply operations, and special projects. This position is responsible for collecting, entering, maintaining, verifying, and tracking data from multiple sources while ensuring the accuracy and integrity of organizational records. The Administrative Support Specialist III prepares reports, correspondence, spreadsheets, and other business documents, supports workflow improvements, and provides administrative assistance to program personnel.
Working under general supervision, the incumbent applies sound judgment, organizational skills, and attention to detail to support efficient office operations. Ability to lead and supervise subordinates.

- Perform a wide variety of administrative and clerical duties in support of organizational operations.
- Collect, gather, input, verify, and maintain data from multiple internal and external sources.
- Process work orders, financial records, production control documentation, supply records, and other administrative transactions.
- Maintain electronic and hard-copy filing systems to ensure records are accurate, current, and readily accessible.
- Prepare reports, spreadsheets, statistical summaries, timelines, charts, graphs, and presentation materials.
- Draft and format correspondence, memoranda, meeting minutes, and other business documents.
- Utilize Microsoft Office Suite and other commercial or proprietary software applications to manage data and generate reports.
- Monitor administrative processes to ensure accuracy, completeness, and compliance with organizational procedures.
- Assist with scheduling meetings, coordinating calendars, and organizing project documentation.
- Support special projects by compiling information, tracking milestones, and maintaining project records.
- Recommend and assist in developing administrative processes and data management procedures that improve workflow efficiency.
- Provide guidance and documentation to staff regarding administrative processes, procedures, and data management practices.
- Respond to internal and external requests for information while maintaining confidentiality and professionalism.
- Perform quality control reviews of data to identify discrepancies and ensure data integrity.
- Perform other administrative duties as assigned.
- Average of 4-8 years of progressively responsible administrative, clerical, or office support experience.
- Experience working with data entry, document management, and administrative recordkeeping.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint), including experience creating reports and spreadsheets.
- Strong typing, data entry, and computer skills.
- Excellent organizational skills with the ability to prioritize multiple assignments.
- Strong written and verbal communication skills.
- Ability to work independently while maintaining accuracy and meeting deadlines.
- Experience supporting federal government, military, healthcare, or large organizational administrative operations.
- Experience using enterprise resource planning (ERP), financial, work order, or proprietary administrative systems.
- Familiarity with records management, document control, and workflow management practices.
- Experience preparing executive-level reports and presentations.
- Active Secret Security Clearance
- High school diploma or equivalent required;
Associate's degree in Business Administration, Office Administration, or a related field is preferred.
