Classification SummaryIncumbents perform basic clerical functions such as providing customer service by answering defined questions and providing information and preparing standard correspondence and reports. Responsibilities may include accepting and processing payments; providing departmental or organizational information; processing forms; and performing the duties of lower-level administrative support position(s).
The Clerical Associate is distinguished from the Clerical Aide in that the former prepares files/reports with higher complexity, utilizes specific system to enter and track information, and may schedule appointments and meetings.
Minimum QualificationsHigh School Diploma or equivalent (G.E.D.) and 6 months clerical or office experience.

Classification Duties- Perform a variety of general secretarial, data entry, payment processing, and clerical support, some of which may be of a confidential nature. (A1)
- Track various department documents and records, prepare routine reports and distribute to appropriate parties. (B2)
- Assist with new student/employee orientations including entering information to campus and/or department‑specific software and preparing welcome letters. (B2)
- Receive incoming phone calls; welcome visitors, guests, and vendors; direct callers and visitors to appropriate personnel. (A1)
- Scan large volumes of department documents and electronically label and file as appropriate. (B2)
- Perform other related duties of a comparable level/type, as assigned.
- Provide administrative and operational support for student activities, student organizations, Student Senate, orientations, campus events, and departmental programs; duties include preparing materials, scheduling spaces, assisting with event logistics, arranging equipment, and maintaining calendars.
- Provide direct, on‑site assistance during campus events, orientations, and departmental programs; duties include helping with event setup and breakdown, monitoring crowd flow, tracking attendance, and working evening and weekend hours as needed.
- Process, track, and maintain student activities and organizational records, forms, and documentation, including event requests, travel forms, funding requests, purchase documentation, rosters, meeting records, and related filing systems; prepare routine reports and correspondence as needed.
- Prepare, process, and track routine financial and budget‑related documentation for student activities and organizations, including purchase requests, reimbursements, invoices, deposits, and expenditure tracking in accordance with established procedures and guidelines.
- Provide front‑line customer service and routine information to students, club officers, club advisors, faculty, staff, vendors, and community members regarding student activities processes, forms, deadlines, events, and established procedures; receive phone calls and visitors and refer complex issues to appropriate personnel.
- Assist with promoting student engagement activities and departmental programs through social media, flyers, email communications, digital signage, website updates, and other outreach methods in accordance with department guidelines.
- Maintain and distribute student organization, leadership, orientation, and departmental resources and materials, including handbooks, training materials, procedural documents, and informational communications.
- Ensure student activities records, communications, and operations are maintained in compliance with applicable College policies, procedures, and confidentiality requirements, including the Family Educational Rights and Privacy Act ( FERPA ).
