Kids Ability Paediatric Therapy Clinic is seeking a dedicated Clinical Administrative Assistant to be the friendly face of our clinic, ensuring a seamless experience for our young patients and their families.

This role is more than just front-desk responsibilities—it’s a chance to be part of a team that makes a real difference in children’s lives through specialized therapy services. Strong attention to detail, punctuality, and reliability are essential for success in this position.

Key Responsibilities:
  • Greet and assist patients and families, creating a welcoming and supportive environment.
  • Schedule, confirm, and manage appointments efficiently to support therapy sessions and minimize wait times.
  • Make and receive phone calls in a professional manner, providing accurate information and ensuring timely follow-ups.
  • Monitor patient attendance, reschedule missed appointments, and ensure optimal scheduling for providers.
  • Handle patient check-ins and check-outs, verify insurance details, and process payments.
  • Maintain accurate records, update patient information, and manage third-party claims with precision.
  • Keep the front desk, waiting area, and common spaces clean, organized, and well-stocked.
  • Address patient inquiries and concerns with professionalism and empathy.
  • Coordinate medical correspondence, mail, and reports for clinical staff.
  • Utilize clinic software to manage administrative tasks and assist in daily operations.
  • Adhere to confidentiality policies and ensure compliance with clinic regulations.
  • Step into additional responsibilities as needed to support the team.
What We’re Looking For:
  • 3-5 years of experience in a healthcare, wellness, or customer service environment.
  • Exceptional communication skills with a warm and professional demeanor.
  • Strong organizational abilities and the capacity to multitask effectively.
  • High attention to detail and accuracy in scheduling and record-keeping.
  • Punctuality and dependability to ensure smooth clinic operations.
  • Experience with scheduling software or office management systems is an asset.
  • Discretion, reliability, and a genuine passion for helping others.
