A well-established nonprofit healthcare organization is seeking an experienced Project Manager to lead the planning, design, permitting, construction, relocation, and occupancy of major administrative and clinical facility projects.
Serving as the organization's primary project lead and owner's representative, this individual will coordinate architects, engineers, contractors, landlords, consultants, regulatory agencies, vendors, and executive leadership. The Project Manager will be responsible for ensuring projects are completed within approved scope, budget, schedule, quality, operational, and regulatory requirements.
The initial priority will be a large-scale facilities project involving the relocation and buildout of administrative offices as well as the planning, permitting, construction, and activation of new clinical space.
Essential Duties and Responsibilities- Manage projects from planning and design through permitting, construction, activation, occupancy, and closeout.
- Develop and maintain project plans, schedules, budgets, milestones, risk registers, decision logs, and action-item trackers.
- Serve as the primary point of coordination for landlords, architects, engineers, contractors, consultants, vendors, regulatory agencies, and internal stakeholders.
- Facilitate regular project meetings and ensure decisions, approvals, changes, and responsibilities are documented.
- Identify risks, schedule delays, and budget concerns and implement mitigation strategies.
- Provide regular project updates to executive leadership and governing bodies as needed.
- Partner with clinical, operational, administrative, facilities, technology, compliance, and finance teams to identify project requirements.
- Translate operational workflows and business needs into functional design specifications.
- Review plans and specifications for alignment with approved scope, schedule, budget, accessibility, safety, privacy, and operational requirements.
- Coordinate space planning, furniture, equipment, signage, technology infrastructure, security, and telecommunications.
- Manage permitting, inspections, licensing, fire clearance, accessibility compliance, and occupancy requirements.
- Work with qualified professionals to ensure compliance with applicable building codes and healthcare regulations.
- Develop and manage comprehensive project budgets, including design, construction, equipment, furniture, technology, relocation, and activation costs.
- Monitor tenant improvement allowances and capital project expenditures.
- Review contracts, invoices, payment applications, change orders, and cost forecasts.
- Coordinate approval and documentation processes for project-related expenditures.
- Support vendor and consultant selection processes.
- Monitor contractor and vendor performance and address issues related to cost, schedule, quality, or contractual obligations.
- Monitor project progress to ensure compliance with approved plans, quality standards, safety requirements, and schedules.
- Conduct site visits and participate in owner-architect-contractor meetings.
- Review construction schedules, progress reports, invoices, submittals, and completion documentation.
- Coordinate testing, turnover, and commissioning of major building systems, including HVAC, electrical, plumbing, fire and life safety, security, and telecommunications.
- Ensure deficiencies are documented and corrected.
- Coordinate safety measures when construction occurs near active healthcare operations.
