The Registrar is responsible for the accurate management, maintenance, and security of student academic records, enrollment processes, and compliance reporting. This role ensures the integrity of student data and supports school operations through effective records management aligned with state, federal, and charter school addition, the Registrar serves as the site-based Title IX Coordinator (or designee), ensuring compliance with federal Title IX regulations, supporting a safe and equitable school environment, and overseeing processes related to discrimination, harassment, and gender equity.
Essential Duties and Responsibilities:
Student Records & Compliance:
Maintain accurate, complete, and confidential student records, including transcripts, enrollment documents, and cumulative files.
Ensure compliance with FERPA, California Department of Education requirements, and charter authorizer expectations.
Manage student enrollment, withdrawals, transfers, and grade-level progression.
Process transcript requests and oversee graduation credit tracking systems.
Conduct regular audits of student records for accuracy and compliance.
Monitor and maintain documentation related to residency verification, immunization records, attendance compliance, and compulsory education requirements.
Support processes related to SARB, chronic absenteeism documentation, and enrollment verification as needed.
Data Management & Reporting:
Maintain and update student information systems on Powerschool (SIS) with student data including enrollment, attendance, and academic progress.
Support state reporting requirements (e.g., CALPADS) and ensure timely and accurate submissions.
Generate reports for internal and external stakeholders.
Collaborate across departments to ensure data accuracy and alignment.
Serve as the site lead for CALPADS data integrity, including certification processes, enrollment accuracy, course section alignment, and staff/student data validation.
Conduct routine internal audits related to attendance, course enrollment, transcripts, graduation status, and teacher-course assignments.
Collaborate with leadership to prepare for charter authorizer reviews, compliance audits, and state reporting deadlines.
Maintain documentation systems to ensure compliance evidence is readily accessible for audits and renewal processes.
Evaluate and process transfer credits, course equivalencies, transcript discrepancies, and graduation requirement alignment in accordance with school and state policies.
Support course scheduling adjustments and credit recovery documentation throughout the academic year.
Scheduling & Academic Support:
Support master scheduling and maintain accurate student schedules.
Monitor graduation requirements and notify appropriate staff of credit deficiencies.
Assist with report cards, transcripts, and academic records distribution.
Title IX Coordination & Compliance:
Serve as the school’s Title IX Coordinator or site designee, ensuring compliance with federal and state nondiscrimination laws.
Oversee intake, documentation, and tracking of Title IX complaints, ensuring prompt and equitable resolution.
Maintain secure and confidential records related to Title IX cases and investigations.
Coordinate with leadership, HR, and legal as needed to manage investigations and outcomes.
Ensure students and staff are informed of their rights under Title IX, including reporting procedures.
Support training and awareness initiatives related to harassment, discrimination, and gender equity.
Monitor school practices to ensure equity in access to programs, activities, and opportunities.
Collaboration & Communication:
Respond to family and student inquiries regarding records, enrollment, graduation status, and transcripts with professionalism, urgency, and confidentiality.
Partner closely with Student Life, counseling, special education, and academic teams to ensure student records, enrollment status, schedules, and graduation progress remain aligned across departments.
Coordinate records requests with external schools and agencies.
Support onboarding and orientation processes for new students and families.
