Position Accountabilities

Essential Duties and Responsibilities

  • Academic Quality Support
    • Track program assessment reports, reviews, and curriculum proposals from draft to final approval.
    • Participate in assessment data collection as directed by Program Directors.
    • Maintain shared repositories of syllabi requirements, assessment plans, and related academic materials.
    • Compile basic reports (enrollment, course rotations, development cycles) using institutional data.
    • Assist with collection, organization, and maintenance of accreditation and assessment documentation.
    • Help draft, format, and edit accreditation‑related narratives and reports.
  • Faculty Support and Personnel Process Coordination
    • Coordinate hiring and orientation of adjunct faculty.
    • Maintain faculty workload records in coordination with Program Directors.
    • Track and remind Program Directors of adjunct faculty reviews, observations, and evaluations.
    • Coordinate the schedule of annual on‑ground classroom observations for full‑time faculty.
    • Serve as the point of contact for faculty regarding administrative processes and deadlines.
  • Student‑Related Administrative Coordination
    • Support student case tracking, documentation, and deadline monitoring for appeals, readmission requests, etc.
    • Maintain current degree maps, advising materials, and course rotation plans.
    • Support recruitment and outreach logistics, including event scheduling and faculty participation tracking.
  • Course Scheduling, Staffing, and Instructional Operations
    • Review course schedules, rotations, and adjunct availability information.
    • Follow up on syllabus submission and approval status each term.
    • Assist Program Directors in staffing on‑ground courses and facilitate communication with adjunct faculty.
  • Budget, Operations, and Division Administration
    • Track divisional budget activity at a summary level.
    • Prepare routine budget and expense reports for the Associate Dean.
    • Process purchase requests, reimbursements, and contractual paperwork.
    • Coordinate divisional meetings, including agendas, materials, minutes, and action‑item follow‑up.
  • Nursing Program Enrollment & Accreditation
    • Coordinate faculty participation in recruitment activities with Enrollment and Student Services.
    • Manage program application processes, verify prerequisites, coordinate admissions tests, background checks, and clinical placement requirements.
    • Support current and transfer students throughout the process through proactive communications.
    • Collaborate with the Registrar’s Office and Nursing Department Chair to review transcripts and maintain admission data.
    • Provide administrative support to nursing program leadership and serve as a contact with community partners and external stakeholders.
  • Position Requirements
    • Bachelor’s degree.
    • Minimum of five years of progressively responsible administrative experience, preferably in higher education or a complex organization.
    • Demonstrated ability to manage multiple priorities, deadlines, and confidential information with discretion and professionalism.
    • Strong organizational, communication, and interpersonal skills; front‑facing with students, faculty, and staff.
    • Proficiency with standard office software, shared document systems, and data tracking tools.
    Preferred Qualifications
    • Experience supporting academic units, faculty, or shared governance processes.
    • Familiarity with curriculum management systems, student conduct platforms, or learning management systems.
    • Experience supporting accreditation or assessment activities, especially in business and technology programs.
