Position SummaryWe are seeking a highly organized and detail-oriented full-time Surgery Scheduler to join our dynamic team. The ideal candidate will be responsible for coordinating all aspects of surgical scheduling for our LASIK/PRK, Cataract, and YAG laser patients. This role requires excellent communication skills, a strong understanding of ophthalmic procedures, and the ability to work efficiently and independently in a fast-paced environment.
Key Responsibilities- Schedule and coordinate all surgical procedures, including LASIK/PRK, Cataract, YAG laser surgeries, and various corneal procedures, ensuring optimal utilization of operating room time among multiple surgery centers and locations.
- Communicate effectively with patients, explaining surgical processes, pre‑operative instructions, and post‑operative care.
- Obtain insurance authorizations and verify patient eligibility for surgical procedures. Collect payment and arrange payment plan options with patients as needed.
- Work collaboratively with surgeons, nurses, and other clinic staff to ensure a seamless patient experience.
- Maintain accurate and up‑to‑date patient records and surgical schedules.
- Address patient inquiries and concerns with professionalism and empathy.
- Process necessary paperwork and documentation related to surgeries.
- Manage cancellation and rescheduling of appointments courteously and efficiently.
- Adhere to all HIPAA regulations and maintain patient confidentiality.
- Front desk duties including answering phones, checking and responding to patients through Weave.
- High school diploma or equivalent.
- Bilingual in Spanish preferred.
- Minimum of 2 years of experience in surgical scheduling, preferably in an ophthalmology setting.
- Strong knowledge of ophthalmic terminology and surgical procedures (LASIK/PRK, Cataract, YAG).
- Familiarity with insurance verification and authorization processes.
- Excellent organizational and time management skills.
- Exceptional interpersonal and communication skills, both written and verbal.
- Proficiency in general office software, paper charts and EMR.
- Ability to prioritize tasks and work effectively under pressure.
- Prior Epic experience is a plus.
- Must be willing to travel (up to two days a week) to our outside clinics in Chula Vista and El Cajon.
- Must have reliable transportation.
- At least 1 year of scribing experience – ophthalmology preferred but not required.
