Primary Duties and Responsibilities- Communication: Serve as the primary liaison between staff, providers, and leadership. Communicate updates, changes, and expectations clearly and effectively.
- Resource Coordination: Oversee inventory, supplies, and vendor relationships. Ensure the clinic is well‑equipped and organized for optimal patient care.
- Financial Management: Manage budgets, billing, and revenue cycle processes. Monitor copay collections and support financial goals for the clinic.
- Compliance & Quality: Maintain compliance with healthcare regulations (HIPAA, OSHA, etc.), clinic policies, and UCLA Health standards. Lead quality improvement initiatives and monitor key performance metrics.

Champion outstanding customer service. Address patient concerns promptly and ensure every visitor receives compassionate, high‑quality care. - Team Leadership: Hire, train, and mentor front and back‑office staff. Foster a positive, collaborative work environment and promote ongoing professional development.
- Clinic Operations: Oversee daily operations, including patient flow, scheduling, and staff coordination. Ensure the clinic runs smoothly and efficiently, even during high‑volume periods.
- A minimum of 2 years of supervisory/management experience
- Skill in analyzing information, problems, situations and procedures to define objectives, identify patterns, and formulate conclusions
- Skill in planning, preparing and analyzing complete revenue and expenses budgets
- Ability to creatively integrate competing demands of an outpatient setting into a productive working environment
- Ability to interact diplomatically and sympathetically with a patient population in varying degrees of health and effectively communicate with staff, faculty and the general public at varying organizational levels
- Working knowledge of university policies and procedures to appropriately manage accounting systems, cashiering, risk management and personnel
- Previous demonstrated expertise in managing patient services and nursing staffing
- Skill and experience in developing quality improvement plans to include using the Lean process (A3)
- Knowledge of Title 22, JCAHO, CDPH (CLIA and radiology) and NCQA guidelines
- Interpersonal skills and ability to communicate effectively and diplomatically with patients, staff and physicians; give and receive information, clarify policies, and mediate if necessary with patients, physicians, and technologists
- Ability to accept and carry out oral instructions accurately and work independently as well as part of a team within a demanding environment
- Ability to prioritize work, handle multiple tasks to completion and make decisions on which course to follow for a particular situation
- Ability to work independently and follow through on assignments with minimal direction and supervision
- Ability to adapt and implement frequently changing procedures
- Knowledge of medical terminology
- Knowledge of health system registration procedures
- Knowledge and familiarity with the department and health system computer systems, including scheduling procedures in the appropriate computer system
- Basic mathematical skills to compute discounts in billing and prepare all billing/payment reports accurately
- Ability to be courteous, professional, and diplomatic in any given situation, particularly with patients who are anxious and agitated
- Ability to be flexible with working hours given adequate notice and ability to work weekends is required by the assigned practice(s)
