The Intake Coordinator is the first point of contact for individuals and families seeking help at Eagle Lake Recovery Center. This role is responsible for managing incoming inquiries, completing pre-admission assessments, coordinating with clinical and medical teams, and ensuring each client is admitted with care, accuracy, and professionalism. The Intake Coordinator provides both administrative efficiency and emotional support to clients entering treatment.

Inquiry Management & Admissions Coordination
- Respond promptly to incoming calls, emails, and referrals regarding treatment services
- Conduct pre-screenings and clinical assessments to determine eligibility and level of care
- Gather insurance and financial information to verify benefits
- Communicate clearly with potential clients and families about program details, expectations, and next steps
- Coordinate admission logistics including dates, transportation, and documentation
- Work closely with clinical, nursing, and case management teams to ensure appropriate placement
- Maintain accurate, HIPAA-compliant records of all calls, referrals, and admissions
- Ensure all required documents (e.g., consents, , insurance, ROI) are received and filed prior to admission
- Help ensure a warm, trauma-informed welcome at time of admission
Documentation& Compliance
- Complete intake forms, assessments, and EMR documentation accurately and timely
- Track admission metrics, inquiry sources, and conversion data for reporting
- Ensure all paperwork complies with Eagle Lake’s policies and state licensing requirements
Family& Referral Communication
- Communicate with family members, referral sources, and outside providers (with proper ROI)
- Provide status updates and answer questions throughout the intake process
- Represent the organization with professionalism and empathy at all times
- High school diploma or equivalent required

Associate’s or Bachelor’s degree in healthcare, psychology, or related field preferred - Minimum 1–2 years experience in admissions, intake, customer service, or behavioral health setting
- Strong communication, organization, and multitasking skills
- Knowledge of HIPAA, substance use disorders, and mental health terminology (preferred)
- Proficiency with EMR systems, Google Workspace, and phone/email communication
- Empathetic, trauma-informed approach to client and family interactions
- Ability to work independently and collaboratively in a fast-paced setting
- Full-time position; may require some evening or weekend shifts based on program needs
- On-site at Eagle Lake Recovery Center; some phone work may be remote/flexible
