This full-time role serves as the welcoming voice and face for a regional healthcare clinic in the Midwest. The Administrative Patient Services Representative acts as the primary contact for patients both over the phone and at the front desk, ensuring a professional and compassionate experience. This position demands excellent organizational skills, attention to detail, and the ability to multitask efficiently in a fast-paced environment.
Key Responsibilities- Promptly answer and direct telephone calls with professionalism.
- Greet patients warmly and communicate clearly with patients and their families, keeping them informed throughout their visit.
- Accurately collect and enter demographic and insurance information into the system.
- Maintain strict confidentiality and comply with privacy regulations regarding patient information.
- Schedule appointments following established protocols and assist patients or guardians with patient portal setup at the time of service.
- Make confirmation calls and guide patients to complete necessary registration paperwork via the patient portal.
- Demonstrate compassion and respect when interacting with patients and colleagues.
- Take and process messages accurately and timely.
- Verify insurance coverage, collect co-payments, and inform patients about their financial responsibilities.
- Meet attendance and punctuality standards while working independently and as part of a team.
High school diploma or equivalent is required. Preference given to graduates of accredited medical receptionist programs or candidates with two years of healthcare experience.
ExperiencePreferably two years of experience in a general medical office or similar healthcare setting, with demonstrated customer service skills and responsibility.
CertificationAmerican Heart Association Basic Life Support (BLS) certification is required.
Mental andPhysical Requirements
This role requires considerable mental focus and physical activity including lifting up to 35 pounds, frequent walking, standing, turning, carrying, pushing, pulling, stooping, crouching, twisting, and reaching.
Working ConditionsWork is performed in a medical office environment with potential exposure to infectious diseases and occasional challenging interactions. Minimal physical discomfort is expected.
