Administrative Patient Services Representative - Orthopedics

Join a dedicated healthcare team in the Midwest region as an Administrative Patient Services Representative specializing in orthopedics. This role is essential in creating a welcoming and efficient environment for patients, guiding them through the initial stages of their healthcare journey with warmth and professionalism.

General Summary

As the first point of contact, you will greet patients, collect accurate demographic and insurance information, and assist with appointment scheduling and insurance verification. Your role ensures patients feel supported and informed, helping them navigate their healthcare experience smoothly.

Essential Duties and Responsibilities
  • Create a friendly and efficient atmosphere for patients, addressing their needs throughout their visit.
  • Collect and update patient demographic data, including insurance details, and enter information accurately into the system.
  • Obtain necessary consents and forms from patients.
  • Verify insurance coverage through direct contact with providers or electronic systems, ensuring correct coverage is applied.
  • Secure pre-authorizations or referrals as required for services.
  • Explain insurance benefits and financial responsibilities clearly to patients.
  • Provide exceptional customer service by promptly answering calls, addressing concerns, and offering information.
  • Maintain strict adherence to HIPAA regulations to protect patient confidentiality.
  • Collect co-pays, deductibles, and other payments in line with organizational policies.
  • Support efficient claims processing and contribute to organizational financial health.
  • Assist patients in using online patient portals.
  • Adapt to shifting work assignments and priorities as needed.
Education

High School Diploma or GED is required.

Experience

Preferred experience includes at least six months in office, call center, customer service, or healthcare settings. Familiarity with computers and standard office equipment is necessary, with proficiency in data entry being a plus. Graduates of accredited medical receptionist programs or those with two years of healthcare experience are preferred.

Certification/License

Basic Life Support (BLS) certification from the American Heart Association is required.

Mental/Physical Requirements

The role demands strong concentration, attention to detail, and the ability to perform under time constraints. Frequent computer use with interruptions is expected. Physical requirements include standing, walking, sitting, reaching, assisting and transporting patients in wheelchairs, and lifting up to 10 pounds.

Working Conditions

Standard office environment with occasional exposure to noise, fumes, chemicals, hazards, or diseases. Flexibility to work various shifts is necessary.
