A Brief Overview

The purpose of this role is to facilitate, organize, streamline the onboarding process for US new hires to ensure all requirements are accurately completed in a timely manner. Additionally, the Onboarding Specialist will take an active role in managing the I-9 process as well as assist in designing and developing onboarding initiatives.

Responsibilities
  • Meets onboarding time frames and collaborates with multiple departments throughout the organization.
  • Manages background and drug screening checks for hires.
  • Manages I-9 process to ensure compliance with E-Verify as well as conducts quarterly I-9 audits.
  • Collaborates with each new hire to complete their onboarding tasks, compliance requirements, including accuracy and completion of new hire paperwork prior to start date.
  • Manages new hire inquiries regarding their onboarding process.
  • Provides knowledge and interpretation on the company’s policies and benefits.
  • Ensures all required documentation is properly documented and stored in applicable HR applications for all hires.
  • Coordinates new hire orientation.
  • Collaborates with talent acquisition team regarding changes in start dates due to onboarding paperwork delays or compliance issues.
  • Assists in designing and developing onboarding initiatives including work instructions.
Qualifications
  • A minimum of 2 years' progressive experience in a related field preferred
  • Solid understanding of general human resources benefits, policies, and procedures
  • Experience in HRIS system, preferably ADP.
  • Proficiency in Microsoft Office applications including Excel, PowerPoint, and Word.
  • Self‑motivated, quick learner, highly resourceful, proactive task execution, drive for results, attention to detail, and a commitment to continuous improvement while maintaining a strong sense of urgency and customer focus.
  • Excellent time management skills.
  • Ability to think independently and execute good judgment in making decisions.
  • Excellent prioritization and organizational skills.
  • A team player with strong interpersonal skills and able to communicate well with people of all levels in order to foster collaborative practices.
  • Good communication and presentation skills, both verbal and written required.

Certain states and localities require employers to post a reasonable estimate of salary range. A reasonable estimate of the current base pay range for this position is $42,000 to $52,500 annually. Actual salary will be based on a variety of factors, including shift, location, experience, skill set, performance, licensure and certification, and business needs. The range for this position in other geographic locations may differ.

Certain positions may also be eligible for variable incentive compensation, such as bonuses or commissions, that is not included in the base pay.
