Our client is looking for a highly organized, responsive, and hands-on HR Generalist & Office Coordinator to support the Chief People Officer and help keep the People function and front office running smoothly. This is an execution-focused role for someone who genuinely enjoys getting things done, staying organized, following through, and making sure nothing falls through the cracks. The ideal person notices what needs attention, takes ownership, follows up without being asked, and understands the importance of completing work accurately and on time.
The position will support the day-to-day administration of Human Resources, including employee questions, onboarding and offboarding, benefits, payroll coordination, HRIS administration, recruiting coordination, personnel records, and compliance tracking. The role will also sit within the reception/front-office area and serve as a welcoming, professional first point of contact for employees, candidates, and visitors. The Chief People Officer will continue to own People strategy, higher-level employee relations, organizational development, and sensitive employment matters.
This person will be the hands-on execution engine helping keep the day-to-day People function organized, responsive, and moving forward.
- Serve as a responsive first point of contact for routine employee HR questions and requests.
- Maintain HR calendars, deadlines, recurring requirements, and follow-up items.
- Support payroll administration, employee changes, payroll review, and routine payroll questions.
- Administer routine benefits activities, including enrollments, changes, terminations, COBRA coordination, and provider communication.
- Support workers’ compensation claim administration and follow-up.
- Coordinate leave-of-absence documentation under the direction of the Chief People Officer and employment counsel.
- Maintain accurate employee records, personnel files, and employment documentation.
- Maintain employee information and transactions within the company’s HRIS/payroll systems.
- Coordinate new-hire onboarding and employee offboarding.
- Coordinate I-9 and E-Verify administration.
- Prepare employment and wage verifications, unemployment documentation, and other routine HR paperwork.
- Maintain HR compliance calendars, labor law postings, notices, and recurring reporting requirements.
- Maintain HR forms, templates, job descriptions, policies, and employee communications.
- Coordinate with outside HR partners, employment counsel, benefits providers, insurance brokers, payroll providers, and other vendors.
- Maintain strict confidentiality regarding employee and company information.
- Support recruiting administration from job posting through hire.
- Coordinate with recruiters, hiring managers, and candidates to keep processes moving.
- Schedule interviews and ensure everyone has timely and accurate information.
- Maintain recruiting status and follow-up items so candidates do not fall through the cracks.
- Assist with offer letters and onboarding documentation.
- Provide a warm and professional candidate experience.
- Serve as a visible and approachable HR presence while maintaining appropriate confidentiality.
- Greet employees, candidates, vendors, and visitors.
- Maintain an organized and welcoming reception/front-office environment.
- Assist with deliveries, visitors, office supplies, and routine administrative needs.
- Proactively identify office organization or administrative needs and help resolve them.
- Assist the Chief People Officer with People-related projects, communications, meetings, and administrative needs.
