Job Summary

Pleasant Valley Farms is seeking a dependable, organized, professional HR Representative/
Administrative Support team member to support our Human Resources department and daily office operations.

This position works closely with the HR Manager and plays an important role in recruiting, hiring, onboarding, employee support, recordkeeping, and general HR administration. The successful candidate will be comfortable working in a fast-paced environment, managing multiple priorities, communicating with employees in both English and Spanish, and handling confidential information with professionalism and discretion.

We are looking for someone who is detail-oriented, dependable, approachable, and willing to take initiative
. This position may also assist with general office responsibilities, special projects, and other administrative tasks based on business needs.

Key Responsibilities Recruitment, Hiring & Onboarding
  • Assist with the recruitment process, including posting job openings, reviewing applications and resumes, screening candidates, and scheduling interviews.
  • Coordinate interviews between candidates and hiring managers.
  • Communicate with applicants throughout the hiring process.
  • Prepare and organize new-hire paperwork and employment documentation.
  • Assist with background checks, Form I-9 verification, and other pre-employment requirements.
  • Support new-hire orientation and communicate company policies, procedures, and workplace expectations.
  • Ensure required onboarding documentation is completed accurately and properly maintained.
Employee Support & Offboarding
  • Serve as a first point of contact for routine employee HR questions and direct more complex matters to the HR Manager.
  • Provide bilingual English/Spanish communication support to employees as needed.
  • Assist the HR Manager with employee concerns, policy questions, documentation, and other workplace matters.
  • Prepare termination and offboarding documentation and assist with employee separation procedures.
  • Gather, organize, and maintain documentation related to employee matters as directed by the HR Manager.
  • Maintain professionalism, confidentiality, and discretion when handling sensitive employee information.
HR Administration & Recordkeeping
  • Maintain accurate, organized, and confidential personnel files and employee records.
  • Assist with benefits enrollment and employee benefit documentation.
  • Assist with leave documentation, workers' compensation paperwork, and employment verifications.
  • Help maintain HR records and documentation in accordance with company policies and applicable requirements.
  • Assist with HR audits, compliance documentation, reports, and routine HR correspondence.
  • Support the HR Manager with filing, data entry, record organization, special projects, and other administrative responsibilities.
  • Provide general administrative and office support as needed.
Qualifications
  • High school diploma or equivalent required; additional education or training in Human Resources, Business Administration, or a related field is a plus.
  • Bilingual English/Spanish required.
  • 1–2 years of HR, administrative, recruiting, or office support experience preferred.
  • Basic understanding of Human Resources practices and employment-related requirements.
  • Proficiency with Microsoft Office, including Word, Excel, Outlook, and related programs.
  • Experience with an HRIS, payroll system, or applicant tracking system (ATS) is a plus.
  • Strong organizational and time-management skills.
  • Excellent attention to detail and commitment to accuracy.
  • Ability to prioritize and manage multiple responsibilities in a fast-paced work environment.
