Position Summary

The Dispatcher is responsible for coordinating daily driver operations, supporting sales inquiries and service needs, and maintaining accurate transportation reporting. This role serves as a key communication link between Sales and Transportation, ensuring timely route updates, issue resolution, and efficient delivery operations.

Key Responsibilities
  • Dispatch drivers and helpers daily to ensure efficient route execution.
  • Maintain accurate payroll records for agency personnel and helpers.
  • Track and document all company-issued materials provided to drivers, including fuel cards, key fobs, keys, radios, and other equipment.
  • Manage hand truck inventory and maintain accurate inventory records.
  • Prepare, maintain, and update transportation and sales reports using company systems.
  • Respond promptly to emails and follow through until issues are fully resolved.
  • Complete shift handoff logs each day, regardless of operational issues.
  • Maintain, organize, and ensure all company phones remain charged and operational.
  • Monitor Samsara activity and address driver alerts and compliance concerns.
  • Update routing systems with delivery windows, address corrections, and customer information.
  • Review emails before dispatching routes to identify updates, changes, and special instructions.
  • Respond to phone messages and provide timely follow-up.
  • Monitor Samsara and Mobile Conductor systems to ensure proper scanner usage and compliance by drivers.
  • Complete daily activity reports and operational tracking documents.
  • Maintain and update pickup schedules in coordination with Purchasing as needed.
  • Communicate route delays, service issues, and other operational concerns to stakeholders.
  • Verify all invoices during driver check-in and ensure no documentation is missing.
  • Proactively monitor and follow up on pickups throughout the day to prevent service disruptions.
  • Provide drivers with support regarding directions, roadside assistance, accident procedures, and other transportation-related matters.
Qualifications
  • High school diploma or GED required.
  • Minimum of 5 years of dispatch experience, preferably within the transportation, logistics, or distribution industry.
  • Strong organizational, communication, and multitasking skills.
  • Proficiency with transportation management systems, routing software, and Microsoft Office applications.
  • Ability to work in a fast-paced environment while managing multiple priorities.
  • Experience with Samsara, Mobile Conductor, or similar fleet management systems preferred.
