Job overview:

The Project Manager serves as the primary point of contact for customers and is responsible for coordinating projects from order inception through final delivery. This role works closely with customers, engineering, purchasing, production, quality, and shipping teams to ensure projects are completed safely, efficiently, on schedule, within budget, and in accordance with customer requirements and applicable industry standards.

The Project Manager oversees all phases of a project, proactively identifying and resolving issues, managing resources, minimizing risk, and ensuring clear communication among all stakeholders. Success in this role requires strong organizational skills, technical knowledge of vessel fabrication, and a commitment to delivering exceptional customer service.

Essential Duties and Responsibilities:
  • Manage assigned projects from order entry through shipment and customer delivery.
  • Monitor production schedules and coordinate activities across engineering, purchasing, fabrication, quality, and shipping departments.
  • Serve as the primary customer contact and maintain proactive communication regarding project status, schedules, and potential issues.
  • Review customer purchase orders, specifications, drawings, and project requirements to ensure alignment with quotations and contractual obligations.
  • Identify and resolve conflicts related to project scope, materials, scheduling, and resource availability.
  • Coordinate the procurement of project-specific materials, subcontracted services, and outside vendors to support production schedules.
  • Track project milestones and ensure work progresses according to established timelines and quality standards.
  • Generate and process change orders, obtain customer approval, and communicate impacts to schedule and cost.
  • Maintain accurate records of customer-supplied materials, project documentation, and correspondence.
  • Support and coordinate customer Factory Acceptance Tests (FAT), inspections, and project reviews.
  • Monitor project costs and support efforts to maintain profitability and budget compliance.
  • Prepare project documentation for invoicing, including review of pricing, change orders, and related billing information.
  • Ensure complete and accurate project closeout, documentation retention, and record archiving.
  • Assist with continuous improvement initiatives that enhance project execution, customer satisfaction, and operational efficiency.
  • Follow all safety policies, procedures, and quality requirements.
  • Maintain a clean, organized, and professional work environment.
Minimum Qualifications:
  • High school diploma or equivalent required; associate degree or bachelor's degree preferred.
  • Minimum of 3 years of project coordination, project management, customer service, manufacturing, or related experience.
  • Proficiency in Microsoft Office Suite, including Word, Excel, Outlook, and project management software.
  • Experience using ERP systems, preferably Syspro, including purchase orders, quotations, work-in-process (WIP), and inventory functions.
  • Strong customer service orientation with experience supporting Business-to-Business (B2B) customers.
  • Working knowledge of vessel fabrication, metal fabrication, or industrial manufacturing processes.
  • Understanding of ASME Code requirements for pressure vessels and related fabrication standards.
  • Experience coordinating external suppliers and subcontractors.
  • Ability to read and interpret technical drawings, specifications, and manufacturing documentation.
