Volunteer and Events Manager
Reports to: Executive Director
Status: Full-Time, hourly (non-exempt)
Location: Onsite at Wild Bird Rehabilitation, 9624 Midland Blvd, St. Louis, MO 63114
Compensation: $/hr.
Schedule: Flexible, most work happens during regular business hours, but there are occasional committee meetings and events that occur in the evenings or on weekends.

About Wild Bird Rehabilitation

Wild Bird Rehabilitation (W ) is the only wildlife rehabilitation center in Missouri that focuses on songbirds. For 33 years, we’ve cared for injured and orphaned wild birds, and today we treat more than 2,200 patients a year from over 120 species. We don’t receive any government funding. We run entirely on private donations, so our volunteers, events and donors are what make our mission possible.

Position Overview

The Volunteer and Events Manager leads our volunteer program through recruitment, training, scheduling and long-term engagement. This person also works closely with the Executive Director on fundraising events and taking care of our donors. The ideal candidate will be comfortable asking people for support and good at thanking them when they give.

Key Responsibilities Volunteer Management
  • Lead volunteer recruitment, orientation and hands‑on training, and maintain training materials.
  • Respond to every new volunteer inquiry within two business days and track each prospect through to their first shift.
  • Build and maintain the weekly volunteer schedule, match volunteers to roles that fit their strengths, and coordinate last‑minute coverage.
  • Serve as the primary point of contact for volunteers, providing the support, coaching and recognition that keeps them coming back.
  • Supervise the volunteer phone team with the Lead Volunteer, and coordinate external volunteer groups for special projects.
  • Work closely with the Rehabilitation Manager to ensure volunteer recruitment, training and scheduling meet the needs of the medical team.
Fundraising Events
  • Project manage W ’s largest annual fundraiser, Trivia Night & Silent Auction, with the Executive Director, from timeline, venue and event volunteers through event‑day operations and post‑event reporting.
  • Support sponsor and silent auction outreach and follow‑up, and ensure every sponsor receives the recognition promised at their level.
  • Support Give STL Day and other campaigns by mobilizing volunteers and helping with outreach.
  • Represent W  at community events to grow our volunteer pool and donor base.
Donor Stewardship & Communications
  • Partner with the Executive Director to ensure every donor, sponsor and in‑kind contributor is thanked promptly, including acknowledgments, thank‑you calls and appeal mailings.
  • Keep donor, sponsor and volunteer records accurate in our CRM.
  • Cultivate volunteers and event supporters as year‑round donors.
  • Manage social media and contribute newsletter content, including volunteer recognition, event promotion and donor thank‑yous.
  • Participate in internal committees supporting programs, campaigns and initiatives established by the Executive Director.
Qualifications
  • Two years of experience in volunteer coordination, nonprofit administration or event planning; fundraising event experience strongly preferred.
  • Demonstrated interpersonal, organizational and written communication skills, and the ability to motivate volunteers from diverse backgrounds.
  • Strong follow‑through and attention to detail.
  • Proficiency with email, Microsoft Office and Google Workspace; CRM and social media experience a plus.
  • Passion for wildlife, conservation or animal welfare is a plus.
Work Environment & Physical Demands
  • Primarily onsite at W  with occasional offsite events; may involve light physical work (e.g., lifting up to 25 lbs, event setup).
  • Comfortable working in a small, team‑oriented nonprofit where everyone pitches in.
