Administrative Support Visitor Assistance & Phone Coverage
Essential Duties And Responsibilities- Maintain highest level of confidentiality, customer service and professionalism to promote a positive image of the Company
- Welcome visitors, organize incoming/outgoing mail, complete general housekeeping, and order, stock, & receive supplies
- Answer and redirect all incoming calls to the correct department in a polite and professional manner
- Process orders and track schedule is meeting customer expectations. Confirm back to customer that order has been received. Notify the Sales Manager if concerns arise.
- Assist with the production schedule and enter it into Business Central to allow procurement to order necessary materials
- Plan and coordinate employee meetings/events (i.e.
- communications, meal coordination, room preparation) - Ensure distribution of required employee notices
- Provide administrative support to team members, managers, corporate staff, or other areas as needed
- Maintain, organize, and ensure confidentiality of sensitive physical and electronic records; input data into various systems as needed
- Monitor and update the employee scheduling system based on actual operation hours
- Review timecards and alert management of necessary changes, employee PTO requests, or attendance concerns
- Assist new and rehires with their Form I-9, timeclock enrollment, and onboarding paperwork
Situations may arise that require employees to temporarily or permanently assume responsibility for tasks not specifically outlined in this job description. Employees may be requested to work additional hours and/or accommodate a heavier than normal work load.
Qualifications- Associate degree in Business or related field, preferred; or comparable education and/or experience
- Excellent interpersonal and communication skills
- High level of proficiency, accuracy, discretion and confidentiality
- Proficient written and verbal communication skills
- Proficient in Microsoft Office -- Word, Excel, and Outlook
- Ability to learn and be proficient in an ERP system – preferably Business Central
