Aspire Senior Living Moberly is seeking an organized, compassionate, and relationship-focused Admissions Coordinator to join our team.
The Admissions Coordinator manages the facility's admission process from initial inquiry through resident move-in and serves as a key point of contact for prospective residents, families, hospitals, case managers, and referral partners.
This Admissions Coordinator position works closely with nursing, billing, and administrative leadership to review referrals, verify eligibility and payer information, coordinate required documentation, and help provide a smooth and welcoming transition into our community.
Key Responsibilities:- Respond promptly and professionally to inquiries and referrals from hospitals, families, case managers, and community partners.
- Coordinate the admission process from initial referral through resident move-in.
- Gather and review required medical, clinical, financial, and admission documentation.
- Collaborate with nursing leadership to review clinical information and determine appropriate placement.
- Coordinate admission logistics, including room assignment and move-in preparation.
- Ensure admission paperwork is complete, accurate, timely, and compliant with applicable state and federal requirements.
- Conduct facility tours for prospective residents and families.
- Build and maintain positive relationships with hospital discharge planners, case managers, referral sources, and community partners.
- Represent the community at networking opportunities and community events as needed.
- Track referrals and maintain accurate information within applicable CRM, census, EMR, or tracking systems.
- Verify payer information and insurance coverage, including Medicare, Medicaid, Managed Care, and Private Pay.
- Obtain prior authorizations when required.
- Collaborate with billing and administrative teams to ensure accurate payer-source documentation.
- Communicate financial requirements and obligations clearly, professionally, and compassionately with residents and families.
- Maintain HIPAA compliance and resident confidentiality.
- Assist with census reporting, occupancy tracking, and admission-related reporting.
- Participate in quality assurance and survey-readiness activities related to admissions.
- High school diploma or equivalent required.
- Associate's or Bachelor's degree preferred.
- 1–3 years of admissions, healthcare intake, case management, business development, or related experience preferred.
- Long-term care, skilled nursing, or senior living experience strongly preferred.
- Knowledge of Medicare, Medicaid, Managed Care, insurance verification, and authorization processes preferred.
