Front Desk Coordinator
Front Desk Coordinator is the first point of contact for students, parents, employees, and visitors. The position manages front office operations, maintains a welcoming and professional environment, supervises assigned front desk staff or student workers, and supports basic campus safety and security procedures.
The ideal candidate is organized, approachable, professional under pressure, and capable of balancing customer service, administrative responsibilities, and light security oversight in a residential educational environment.
ScheduleOn‑site, Monday‑Friday, 7:30 a.m. to 4:00 p.m. The position operates in a residential high school environment with frequent interaction with students, employees, parents, and visitors. Some evenings, weekends, and/or special event hours may occasionally be required. Lunch schedule: 11:30 a.m. to 12:15 p.m., subject to change.
ClassificationStaff, full‑time, 12‑month, exempt, salary.
Required Qualifications- High school diploma or equivalent required; associate or bachelor’s degree preferred.
- Minimum of 2 years of administrative, customer service, or front office experience required.
- Previous supervisory or team leadership experience required.
- Experience working in a school, residential, hospitality, or customer‑facing environment is a plus.
- Ability to always maintain confidentiality and professionalism.
- Strong interpersonal, communication, and organizational skills.
- Ability to remain calm and professional in high‑pressure situations.
- Basic knowledge of security procedures and emergency response protocols preferred.
- Proficiency with Microsoft Office and standard office equipment.
- Ability to sit or stand for extended periods.
- Ability to occasionally lift up to 25 pounds.
- Ability to walk campus grounds as needed.
- Greet and assist students, parents, visitors, vendors, and employees in a professional and courteous manner.
- Answer direct incoming phone calls, emails, and inquiries.
- Maintain visitor sign‑in procedures and issue visitor badges in accordance with campus policies.
- Coordinate front desk coverage and daily office operations.
- Manage incoming and outgoing mail, deliveries, and packages.
- Maintain student and visitor records and logs.
- Assist with scheduling meetings, campus events, and appointments as needed.
- Provide administrative support to school leadership and campus departments as needed.
- Monitor and maintain office supplies and front desk equipment.
- Assist in supervising front desk staff, student workers, or reception personnel.
- Help train and onboard new front desk employees.
- Support scheduling, task delegation, and daily workflow coordination for front desk operations.
- Promote a positive, professional, and student‑centered environment.
- Assist leadership with enforcing campus policies and procedures in a respectful and consistent manner.
- Serve as a resource for students and visitors by helping resolve routine concerns and directing issues appropriately.
- Monitor campus entry points and ensure all guests follow visitor procedures.
- Conduct routine checks of front entrance areas and report safety or maintenance concerns.
- Assist with enforcing campus access protocols and after‑hours building access procedures.
- Support emergency response procedures by communicating with campus leadership and security personnel when necessary.
- Document incidents, unusual activity, or policy violations and report concerns promptly.
- Assist with student check‑in/check‑out procedures and visitor accountability.
- Build an open and collaborative relationship with Hall Staff, Operations, and Security personnel.
- Performs other duties as assigned by the VP/ASMS President.
- Serves on ASMS committees as assigned.
- Supports the school’s Mission, Vision, and Values.
- The Alabama Child Protection Act of 1999 and Act No. 2002‑457 require criminal history background checks and establish suitability criteria for individuals working in positions that involve children, including public or residential school settings like ASMS (Alabama School of Math and Science).
