- Support all administrative aspects for the Logistics Department, including monitoring and maintaining logistics manning schedules and headcount in conjunction with managers, foremen, and supervisors.
- Compile and maintain required documentation and weekly reports for submission to key members of the Austal organization.
- Work with Logistics Traffic Lead performing freight invoice coding, engaging multiple departments (Logistics, Supply Chain, Project Management, Accounting) to ensure freight invoices are accurately coded, approved, and submitted for payment.
- Perform daily collection, scanning, and cataloging of logistics documents to ensure prompt availability.
- Handle all clerical duties, collecting and entering data in Austal ERP systems as required.
- Assist department managers and foremen to maintain departmental supplies.
- Track and reconcile departmental budget – processed requisitions, purchase orders, and Cap Ex’s, compare actual expenses vs the Budget, reporting discrepancies to Manager.
- Maintain Employee Contact List and distribute as needed periodically; post or distribute notices of internal job postings, special events, or company announcements.
- Create requisitions and enter into IFS.
- Assist with scheduling all employees for required training, meetings, and appointments.
- Update/reconstruct department documents and templates as needed, ensuring company policies and procedures are understood and adhered to.
- Establish working relationships with multiple departments, promoting a positive outlook conducive to high productivity.
- High school diploma or GED required.
- Minimum of two (2) years’ experience in an administrative role with similar responsibilities.
- Proficiency in all Microsoft Applications, working knowledge of PowerPoint.
- Strong time management, organizational, interpersonal, and analytical skills.
- Ability to prioritize tasks, be self‑motivated, and work effectively under pressure, both independently and in a team environment.
- Attention to detail and accuracy required.
- Marine industry product knowledge is a plus.
- Must be 18 years of age or older.
- Must be able to provide proof of US Person Status.
- No felony convictions of theft/deception or violent crimes within 7 years from disposition date.
- No felony convictions of drug crimes within 3 years from disposition date.
- Willing to submit to a drug screen and a background check.
