Position: Benefit Administrator - 401k Project (3 Month Contract)

Department: Human Resources

Reports To: HR Operations Support Manager

Duration: 3-Month Contract

Location: Remote USA

Position Summary We are seeking a detail-oriented and analytical Benefits Administrator to support a focused 401(k) project initiative on a 3-month contract basis. This role will report to the HR Operations Support Manager and will be responsible for auditing, reporting, reconciliation, and process improvement activities related to the company’s 401(k) program and benefits administration processes. The ideal candidate brings strong technical expertise in ADP Workforce Now, advanced Excel skills, and hands‑on experience managing 401(k) plan administration, compliance, and cross-functional collaboration with Finance and external vendors.

Key Responsibilities
  • Support the administration and reconciliation of the company’s 401(k) plan.
  • Pull, analyze, and audit benefits and payroll reports from ADP Workforce Now.
  • Perform detailed audits of 401(k) contributions, employer match calculations, eligibility tracking, and compliance reporting.
  • Reconcile payroll deductions with plan vendor records and coordinate corrections as needed.
  • Liaise with Finance to ensure accurate funding, reporting, and general ledger alignment.
  • Partner with payroll and benefits vendors to resolve discrepancies and participant issues.
  • Review and improve documentation of processes related to 401(k) administration.
  • Assist with compliance testing preparation (e.g., nondiscrimination testing support, audit preparation).
  • Identify process gaps and recommend improvements to strengthen controls and efficiency.
  • Provide status updates and reporting to HR leadership throughout the project lifecycle.
  • Support additional HR Operations tasks as needed during the engagement.
Qualifications
  • 3+ years of experience in benefits administration, with direct 401(k) plan experience required.
  • Hands‑on experience with ADP Workforce Now (report pulling and data analysis required).
  • Advanced proficiency in Microsoft Excel (pivot tables, VLOOKUP/XLOOKUP, data reconciliation, formulas).
  • Strong understanding of 401(k) compliance, eligibility, employer match calculations, and payroll integration.
  • Experience auditing benefits data and resolving discrepancies.
  • Demonstrated ability to partner cross‑functionally with Finance, Payroll, and external vendors.
  • Strong attention to detail and analytical mindset.
  • Excellent organizational and time‑management skills.
  • Ability to work independently in a project‑driven environment with minimal supervision.
Preferred Qualifications
  • Experience supporting 401(k) audits or annual compliance testing.
  • Familiarity with ERISA and related regulatory requirements.
  • Experience documenting and improving HR operational processes.

Mon/Fri - 8am-4:30pm (flexible starting time)
