The Customer Set Up Coordinator is responsible for the accurate setup, maintenance, and administration of customer accounts across company systems. This position ensures customer information is entered correctly, billing parameters are configured, required documentation is obtained, and all account changes are processed efficiently. The ideal candidate is detail-oriented and organized, with strong data accuracy and time management skills, and works closely with Sales, Operations, Dispatch, Billing, and Customer Service to support a seamless customer onboarding experience while maintaining data integrity.

Responsibilities
  • Creates new customer accounts in company software platforms.
  • Verifies customer information for completeness and accuracy before activation.
  • Configures billing terms, pricing, service locations, tax settings, and invoice preferences.
  • Processes customer account updates, including name and address changes, service location additions or removals, billing changes, contact updates, and tax exemptions.
  • Maintains customer master data and ensures ongoing data integrity.
  • Coordinates with Sales to obtain missing documentation or approvals.
  • Works with Billing and Operations to ensure accounts are ready for service.
  • Reviews customer setup requests for compliance with company policies.
  • Maintains electronic customer files and supporting documentation.
  • Assists with customer conversions resulting from acquisitions or system migrations.
  • Troubleshoots account setup issues and resolves discrepancies.
  • Generates reports related to customer setup activities and account maintenance.
  • Meets departmental turnaround time and accuracy goals.
  • Participates in process improvement initiatives and documentation updates.
  • Performs other duties as assigned.
Qualifications
  • High school diploma or equivalent required; associate's or bachelor's degree preferred.
  • 2+ years of customer account administration, billing, customer service, or administrative experience required.
  • Experience working in ERP, CRM, or billing systems required.
  • Proficient in Microsoft Office, particularly Excel, required.
  • Strong attention to detail, organizational, and data accuracy skills required.
  • Excellent written and verbal communication skills required.
  • Strong problem-solving and analytical skills required.
  • Ability to prioritize multiple tasks in a fast-paced environment required.
  • Experience in waste, transportation, logistics, utilities, or service industries preferred.
  • Experience supporting acquisitions, customer conversions, or system implementations preferred.
  • Knowledge of billing processes and customer master data management preferred.
Physical Requirements and Work Environment
  • Regularly works in an office setting, primarily seated at a desk.
  • Frequent use of a computer, phone, and office software for extended periods.
  • Extended periods of sitting, with occasional standing and walking.
  • Occasionally lifts and carries office materials and supplies up to 15 pounds.
  • Work is performed primarily in an indoor office environment.
