Job Description Job Summary

Responsible for providing patient education, coordination, and scheduling for facial plastic surgery procedures while upholding a white glove level of service, ensuring the highest standards of patient care.

Essential Functions and Responsibilities
  • Meets with potential surgery patients and provides surgical quotes and assists patients with proceeding with procedures and treatments.
  • Schedule surgeries efficiently, working with office staff, physician, patients, and surgery center and providing appropriate records to surgery center.
  • Responds to patient calls promptly; establish a strong relationship and rapport with each patient.
  • Routinely follow-up with potential patients as appropriate with the intent of generating additional patient encounters and to encourage patients’ consideration of future services.
  • Ability to hear a patient’s concern and appropriately connect it to a practice solution. Answer patients’ questions and ensure quality customer service.
  • Conducts effective and informative client consultation to determine goals, educate patients, and set realistic expectations regarding possible results.
  • Interacts regularly with patients to ensure service/product satisfaction, responses quickly and appropriately to any concern.
  • Assist prospective patients in making comfortable and confident decisions to select surgical treatments and procedures.
  • Obtains surgical prior authorizations after insurance company verification as necessary.
  • Consistently performs specific assigned daily and general duties; meet deadlines.
  • Helps answers phone and make patient appointments.
  • Regularly attends and participates in assigned meetings.
  • Knows and consistently implements the organization’s mission and all approved policies, protocols, and procedures.
  • Regularly supports compliance and accreditation efforts as assigned (e.g. OSHA, HIPAA).
  • Consistently demonstrates good use of time and resources.
  • Performs other duties that may be assigned from time to time.
Experience
  • Minimum one year experience in a medical office, Surgical scheduler, or related job.
  • Service mentality - 1 to 3 years of prior experience in patient services or customer service (such as a concierge in restaurants, hotels, or retail) is a plus
  • Sales experience background preferred.
Education
  • High School Education or GED equivalent, CNA, CMA, or completion of a Medical Assisting program is preferred, BLS is required.
Other Skills
  • Professionalism is a must.
  • A significant level of trust and diplomacy is required, in addition to courtesy, a good attitude and tact.
  • Clear communication skills both verbally and written for a wide range of patient ages, and the ability to make an excellent first impression beyond expectations is both critical skills for this role.
  • Multitasking and time-management skills with the ability to prioritize tasks.
  • Outside contacts become important and fostering sound relationships with other entities (companies and/or individuals) becomes necessary.
  • Teamwork and openness to support company initiatives
