We are seeking a New Patient Coordinator to help ensure a smooth and efficient experience for new patients entering our practice. This role is responsible for coordinating new outpatient referrals, scheduling satellite clinic appointments, maintaining accurate patient information, and ensuring charts and required documentation are prepared in advance of appointments.

The ideal candidate is highly organized, detail-oriented, dependable, and comfortable managing multiple priorities in a fast-paced medical office environment. Strong communication and customer service skills are essential, as this position interacts regularly with patients, families, providers, insurance representatives, and members of the healthcare team.

What You'll Do
  • Coordinate and schedule new outpatient referrals in a timely and efficient manner.

  • Obtain and accurately enter required patient demographic and insurance information into the practice management system.

  • Schedule satellite clinic appointments and ensure patient charts are prepared in advance of scheduled visits.

  • Monitor physician schedules and cancellations and, according to established protocols, schedule new patients into available appointment slots to maximize provider availability.

  • Monitor appointment availability and provide weekly updates regarding provider schedules and openings.

  • Ensure required patient documents and information are accurately entered and maintained in the electronic medical record (EMR).

  • Answer telephone calls professionally and courteously, address callers' questions and concerns, and appropriately transfer calls when necessary.

  • Maintain the confidentiality and security of medical records and Protected Health Information (PHI).

  • Demonstrate professionalism, accountability, initiative, and a commitment to providing excellent patient service.

  • Work collaboratively with physicians, nurse practitioners, supervisors, staff, patients, families, and other healthcare partners.

  • Follow organizational policies, procedures, and safety regulations.

  • Perform other related duties as assigned.

What We're Looking For

Required Qualifications

  • High school diploma or equivalent.

  • Minimum of two years of experience in a medical office setting.

  • Medical Assistant coursework from a credentialed institution is preferred. Five years of medical assistant experience in an office setting may be considered in lieu of formal coursework.

  • Ability to manage multiple priorities, meet deadlines, and work independently.

  • Ability to exercise sound judgment and make appropriate decisions when circumstances require.

  • Professional, courteous, and compassionate approach when interacting with patients, families, coworkers, visitors, payors, government agencies, and the general public.

  • Ability to communicate clearly and effectively with physicians, nurse practitioners, supervisors, and other members of the healthcare team.

  • Ability to work collaboratively with both clinical and non-clinical staff.

  • Positive, patient, and professional demeanor, with the ability to respond appropriately to individuals with varying needs and circumstances.

  • Ability to learn and follow organizational policies, procedures, scheduling protocols, and workflows.

  • Strong commitment to patient confidentiality and the appropriate handling of protected health information.
