** Job Summary
** The Associate Project Manager (APM) – Healthcare IT supports the planning, execution, and delivery of healthcare technology projects, including EHR implementations, system upgrades, integrations, and process improvement initiatives. This role works closely with senior project managers, clinical stakeholders, IT teams, and vendors to ensure projects are delivered on time, within scope, and in alignment with regulatory and organizational requirements.

Your role bridges communication across teams and supports both operational and financial elements of project delivery.
** Key Responsibilities
**** Project Coordination & Stakeholder & Communication Support
*** Support project planning activities, including timelines, milestones, and task tracking
* Coordinate and conduct project meetings, prepare agendas, capture minutes, and follow up on action items
* Maintain project documentation such as project plans, risk logs, issue logs, and status reports
* Track risks, issues, dependencies, and progress across all project work streams.
* Serve as a liaison between IT, clinical, operational, and vendor teams
* Assist with stakeholder communications, including status updates and change notifications
* Support user engagement activities such as training coordination and go-live preparation
** IT, Administrative & Quality Support
*** Assist with implementation, optimization, or maintenance of healthcare systems (e.g., EHR/EMR, clinical applications, revenue cycle systems)
* Help ensure projects align with healthcare regulations and standards (e.g., HIPAA, HITECH)
* Support testing, validation, and documentation activities for new system features and/or integrations.
* Monitor project budgets, invoices, and resource utilization as assigned
* Assist with change management and process improvement efforts
* Conduct and contribute to post-project reviews and lessons learned documentation
* Assist in reviewing vendor invoices for accuracy, proper coding, and alignment with contracted services.
* Track forecast vs. actual spends and escalate potential overruns or variances.
* Support managers in preparing financial summaries for leadership and stakeholders.
* Contribute to change‑management activities and process improvement initiatives.
** Best Practices Implementation
*** Ensure project documentation, communication, and tracking processes follow organizational standards and industry best practices.
* Promote consistent use of templates, workflows, naming conventions, and governance procedures across projects.
* Identify inefficiencies and recommend improvements that align with recognized project management methodologies (Agile, Waterfall, Hybrid).
* Encourage knowledge‑sharing across teams through lessons learned sessions and continuous‑improvement conversations.
** Required Qualifications
*** 1–3 years of experience in project coordination, healthcare operations, IT, or related roles
* Basic understanding of project management methodologies (Agile, Waterfall, or Hybrid)
* Strong organizational, time management, and documentation skills
* Excellent written and verbal communication skills
* Proficiency with Microsoft Office (Excel, Word, PowerPoint) and project tools (e.g., Smartsheet, MS Project, Jira, or similar)
