Overview

Dispatcher – Fuel Transportation Operations

We are seeking a highly organized, proactive, and detail-oriented Dispatcher to join our growing petroleum transportation team. This individual will serve as the operational hub between drivers, customers, fuel terminals, maintenance personnel, and company leadership to ensure safe, efficient, and timely fuel deliveries.

Key Responsibilities Dispatch & Transportation Operations
  • Coordinate and dispatch drivers, tractors, and trailers to meet customer delivery requirements
  • Assign loads based on customer demand, driver availability, equipment availability, and Hours-of-Service compliance
  • Monitor fleet activity and delivery progress throughout each shift
  • Adjust routes, schedules, and assignments as operational needs change
  • Manage emergency deliveries and priority customer requests
  • Maintain continuous awareness of driver locations and operational stats
Load Planning & Scheduling
  • Build and maintain daily and next-day delivery schedules
  • Coordinate fuel loading schedules with terminals and suppliers
  • Review customer inventory levels and delivery requirements
  • Optimize driver productivity and equipment utilization
  • Coordinate second-turn opportunities and maximize fleet efficiency
  • Monitor and respond to terminal delays and operational disruptions
Driver Support & Communication
  • Serve as the primary point of contact for drivers during assigned shifts
  • Communicate dispatch instructions, route updates, customer requirements, and operational changes
  • Assist drivers with delivery issues, terminal concerns, equipment problems, and scheduling conflict
  • Monitor Hours-of-Service compliance and available drive time
  • Foster a professional, safety-focused, team-oriented culture
Customer Service
  • Communicate with customers regarding delivery schedules and service requests
  • Respond promptly to inquiries and operational concerns
  • Coordinate urgent and after-hours delivery requests
  • Escalate significant customer issues when appropriate
  • Maintain a high level of professionalism in all interactions
Fleet & Maintenance Coordination
  • Monitor equipment availability and communicate maintenance needs
  • Coordinate repairs, preventative maintenance, and breakdown response with maintenance personnel
  • Help minimize equipment downtime and service interruptions
  • Maintain communication between drivers, maintenance, and operations leadership
Safety & Compliance
  • Support compliance with DOT, FMCSA, company, and customer requirements
  • Monitor operational compliance related to Hours-of-Service regulations
  • Promote safe operating practices throughout the organization
  • Assist with incident reporting and documentation as needed
  • Ensure dispatch decisions align with company safety standards
Qualifications

Required

  • Experience in dispatching, transportation, logistics, trucking, fleet operations, or petroleum distribution
  • Strong organizational and multitasking skill
  • Excellent verbal and written communication abilities
  • Strong decision-making and problem-solving skills
  • Ability to perform effectively in a fast-paced environment
  • Proficiency with Microsoft Office, including Outlook and Excel
  • Ability to remain calm under pressure and manage competing priorities

Preferred

  • Knowledge of DOT and FMCSA regulations
  • Understanding of Hours-of-Service requirements
  • Experience with GPS fleet tracking system
  • Experience using dispatch software or transportation management systems (TMS)
  • Petroleum, tanker, fuel, or bulk transportation experience
