Role Description

We are seeking a friendly, organized, and compassionate part-time front office admin assistant to join our team in Modesto, CA. As the first point of contact for our clients and their families, you will play a crucial role in creating a welcoming and supportive atmosphere.

This part-time, on-site role, requiring approximately 20 hours per week, is essential for the smooth operation of our clinic. You will work closely with and provide direct support to the Front Office Manager, assisting with daily administrative tasks, client communication, and overall office coordination.

Key Responsibilities
  • Serve as the welcoming face of Blossom, greeting clients and families in a warm and professional manner.
  • Answer and manage multi-line phones, respond to emails, and handle general inquiries, directing them to the appropriate staff members.
  • Schedule client appointments, manage clinician calendars, and process cancellations or rescheduling requests.
  • Assist the Front Office Manager with the client intake and discharge process, including preparing new patient paperwork and ensuring files are complete.
  • Support billing procedures by collecting co-pays, posting payments, and preparing necessary documentation.
  • Maintain the electronic medical records (EMR) system with accurate and up-to-date client information.
  • Manage the reception area, ensuring it remains clean, organized, and welcoming.
  • Provide general administrative support to our therapists and management team to ensure efficient clinic operations.
Qualifications
  • Proven experience as an administrative assistant, receptionist, or in a front office role.
  • Exceptional customer service skills with a genuine desire to help people.
  • Strong verbal and written communication skills.
  • Excellent organizational and time-management abilities, with a knack for prioritizing tasks.
  • Proficiency in Google Suite (Docs, Sheets, Gmail, and Calendar) and a comfort level with learning new software systems.
  • A high degree of professionalism and the ability to handle confidential information with discretion.
  • Experience with electronic medical records (EMR) systems is a plus.
  • Previous experience in a healthcare, therapy, or educational setting is highly beneficial.
