Overview
Responsible for a wide variety of clerical duties and provides support to the Office manager/Program Director in the management of the office. This at‑will administrative position coordinates appointments and interviews, supporting the administrative needs of the program.
Essential Duties and Responsibilities (Illustrative)- Maintains Quick Books and the checking account ledger, and, when requested by the Program Director, manages petty cash and team funds.
- Supports the program with processing ATPs.
- Develops and implements a system to update client address and telephone information monthly.
- Maintains accurate monthly census, ensuring current dates of client movements into and out of housing.
- Maintains Medi Cal swipe sheet, requests new client numbers and demographic sheets, and enters all enrollment information into services.
- Orders client needs, supports client spend‑downs, and orders program supplies.
- Updates all needed DCR data and inputs Kets, 3
Ms, and PAFs. - Creates and maintains monthly information regarding hospitalization, jail, and homelessness from the case manager; gathers insurance status from the swipe sheet.
- Makes new charts as needed (tabs all in the same direction).
- Completes client chart filing weekly and participates in monthly utilization review.
- Organizes program files—coordinating with the program director to ensure continuity and avoid duplication of necessary forms and documents.
Education, Training and
Experience:
High school diploma or GED; two (2) years of experience performing duties similar to those outlined above. Years of experience may substitute for the education requirement.

Certifications;
Special Requirements: Reliable means of transportation capable of passing a vehicle safety inspection if the vehicle is more than five years old. Bicycles, mopeds and motorcycles are not acceptable.
